Job Summary
Guest Services Coordinators handle the routine office work and administrative responsibilities of the resort, working closely with the RV Resort Manager and other team members.
Job Duties
- Greets and establishes rapport with guests, current and prospective residents.
- Fields resort comments, suggestions, and complaints to the RV Resort Manager (Essential)
- Maintains the petty cash fund, ensuring to record expenditures in the proper accounts (Essential)
- Performs general administrative functions such as answering phones, typing, photocopying, faxing, filing, and other duties as assigned (Essential)
- Collections and posts resident security deposits, processing fees, rent, inspection, application or other miscellaneous fees in Yardi; records in the proper accounts and issues receipts (Essential)
- Prepares and distributes resort communications such as rule reminders, violation notices, newsletters, etc.
- Affixes guest reservations in person and via phone
- Affixes office supplies are sufficiently stocked and prepares supply orders as needed
- Affixes assistance with planning and coordinating guest and resident relations events and activities within the resort
- Affixes assistance with the preparation of marketing materials
- Affixes assistance with the collection of site rental payments as directed; submits bad debt files to collections
- Affixes assistance with resident move-ins and move-outs
- Affixes completion and maintenance of resort records, reports, and files
- Affixes referral of sales prospects to the RV Resort Manager and/or Sales Manager and enters prospect information into property management/reservation system in a timely manner
- Affixes obtaining approvals on prospective resident applications; tracks all approvals and denials
- Affixes assistance to prospective residents by checking the status of Sun Homes inventory; reviews home listings, shows homes, and assists with rental applications
- Affixes obtaining and coding invoices and other payables and submits to manager approval
- Affixes checking guests in and out for their reservations
- Affixes greeting and establishing rapport with guests, current and prospective residents
- Affixes fielding resort comments, suggestions, and complaints to resort leadership
Requirements
- High School Diploma or GED (Required)
- 2 years in administrative experience (Required)
- 6 months in previous experience using property management and/or reservation systems (Preferred)
- 6 months in hotel or resort front desk experience (Preferred)
- Strong customer service skills (Required)
- Excellent telephone skills (Required)
- Good problem solving skills (Required)
- Professional appearance (Required)
- Intermediate to advanced computer proficiency, with ability to use Microsoft Office Suite, email, the internet, and provide data entry in a timely and efficient manner (Required)
- Must have a valid driver's license (Required)
