Overview
Guest Services Coordinators handle the routine office work and administrative responsibilities of the resort, working closely with the RV Resort Manager and other team members.
Job Duties
- Greets and establishes rapport with guests, current and prospective residents.
- Fields resort comments, suggestions, and complaints to the RV Resort Manager (Essential)
- Maintains the petty cash fund, ensuring to record expenditures in the proper accounts (Essential)
- Performs general administrative functions such as answering phones, typing, photocopying, faxing, filing, and other duties as assigned (Essential)
- Collections and posts resident security deposits, processing fees, rent, inspection, application or other miscellaneous fees in Yardi; records in the proper accounts and issues receipts (Essential)
- Prepare and distribute resort communications such as rule reminders, violation notices, newsletters, etc.
- Aid with accepting guest reservations in person and via phone
- Aid with planning and coordinating guest and resident relations events and activities within the resort
- Aid with the preparation of marketing materials
- Aid with the collection of site rental payments as directed; submit bad debt files to collections
- Process resident move-ins and move-outs
- Complete and maintain resort records, reports, and files
- Refer sales prospects to the RV Resort Manager and/or Sales Manager and enter prospect information into property management/reservation system in a timely manner
- Obtain approvals on prospective resident applications; track all approvals and denials
- Aid prospective residents by checking the status of Sun Homes inventory; review home listings, show homes, and assist with rental applications
- Review and code invoices and other payables & submit to manager approval
- Check guests in and out for their reservations
- Greets and establishes rapport with guests, current and prospective residents
- Field resort comments, suggestions, and complaints to resort leadership
Requirements
- High School Diploma or GED (Required)
- 2 years in administrative experience (Required)
- 6 months in previous experience using property management and/or reservation systems (Preferred)
- 6 months in hotel or resort front desk experience (Preferred)
- Strong customer service skills
- Excellent telephone skills
- Good problem solving skills
- Professional appearance
- Intermediate to advanced computer proficiency, with ability to use Microsoft Office Suite, email, the internet, and provide data entry in a timely and efficient manner
- Must have a valid driver's license
