About the role

The Guest Service Administrator plays a critical role in both guest experience and site administration at a world-class Dexterra camp facility.

Responsibilities

  • Welcome guests and provide introductory information about the site
  • Serve as the first point of contact for guest and client inquiries via phone and email
  • Allocate guest rooms and issue room keys and access cards as required
  • Manage the check-in and check-out process for all guests
  • Maintain accurate records of guest names, room assignments, and dates of stay
  • Ensure accurate and timely data entry into occupancy and property management systems
  • Forecast occupancy levels based on bookings and client schedules
  • Run and distribute occupancy, arrival/departure, and utilization reports
  • Support site planning through accurate guest and occupancy reporting
  • Ensure database accuracy for room bookings, payments, and multiple data sources
  • Provide guests with information on camp rules, policies, and services while gathering feedback
  • Assist with administrative review of safety documentation, time sheets, and maintenance records
  • Aid in the preparation of reports using MS Excel and documentation in MS Word
  • Assist the Site Manager with day-to-day administrative and operational support tasks

Qualifications

  • Completion of post-secondary education in Hospitality, Business Administration, or a related field
  • Minimum 1 year of logistics, or hotel guest services and/or administrative experience
  • Minimum 1 year of accounting or administrative experience, which can include (but not limited to): receiving reports, work orders, payroll data entry, invoicing and billing
  • Strong attention to detail with the ability to maintain accurate guest and occupancy records
  • Intermediate proficiency with Microsoft Office (Excel, Word)
  • Experience with Property Management Systems or hospitality software is considered an asset
  • Strong customer service skills with a professional, organized, and responsive approach
