Group Rooms Coordinator
About the role
We are seeking an organized, service-minded Group Rooms Coordinator to help create seamless experiences for meetings, weddings, celebrations, golf groups, and other special gatherings. In this role, you will serve as a primary rooms contact for group organizers and guests, coordinating lodging arrangements from the initial turnover through arrival, departure, and follow-up.
You will work closely with Sales, Conference Services, Reservations, Revenue Management, Front Office, Housekeeping, Accounting, and other resort teams to keep everyone informed and prepared. When business needs require, you may also assist with front desk operations, including checking guests in and out.
Responsibilities
- Manage group room blocks, process rooming lists and reservation changes.
- Monitor booking activity and deadlines.
- Ensure rates, billing instructions, special requests, and guest details are entered accurately.
- Coordinate lodging arrangements for groups from initial turnover through arrival, departure, and follow-up.
- Assist with front desk operations, including checking guests in and out, as needed.
Requirements
- High school diploma or equivalent.
- At least one year of relevant work experience in hotel reservations, front desk operations, group sales, event services, travel coordination, hospitality administration, client account support, or another detail-focused customer service or coordination role.
- Strong organization and time-management skills, with the ability to manage multiple groups, deadlines, and changing priorities.
- Exceptional attention to detail and a commitment to accurate, complete work.
- Warm, polished, and professional written and verbal communication.
- Proficiency with Microsoft 365, including Outlook, Word, and Excel.
- Confidence learning property-management, reservation, sales, and account-management systems.
- Sound judgment, discretion, and dependable follow-through.
- The ability to work independently while collaborating closely with teams throughout the resort.
Qualifications
- Direct experience with hotel group reservations or group housing is strongly preferred, but candidates with related experience and the ability to learn resort systems quickly are encouraged to apply.
Schedule
The regular schedule will be established according to business needs. Occasional early mornings, evenings, weekends, holidays, or extended hours may be required to support group activity and peak periods.
Work Environment
The position primarily involves computer and telephone work, with occasional walking throughout the resort and lifting or moving items weighing up to 10 pounds.
