Responsibilities

  • Oversight of client account opening, updates, and ongoing due diligence
  • Maintenance of delivery instructions, review of client confirms, verification of funds received and securities deliveries
  • Wiring of funds, inputting principal and interest monthly with accuracy, and client confirmation
  • Handling client calls, setting up and managing calendar invitations
  • Booking travel arrangements, adherence to company policies and guidelines
  • Monitoring and managing payment of travel expenses, maintaining an accurate ledger
  • Affording support in marketing efforts, database management, and social media platforms
  • Ensuring contact information is up-to-date and reminding the team of upcoming compliance and FINRA deadlines/policies
  • Anticipating and managing office supply needs
  • Cross training in various areas to contribute to team operations
  • Supporting the business growth by actively participating in the rollout of new products or services
  • Staying updated on the regulatory environment affecting clients and prospects

Qualifications

  • College education a plus but not required
  • Previous experience at a brokerage firm or in a financial role preferred
  • Previous experience as an Executive/Administrative Assistant preferred
  • High proficiency with technology including MS Office products (Word, Excel, PowerPoint, and Outlook)
  • Knowledge of Zoom/WebEx
  • High level of confidentiality maintained
  • Strong accuracy and thoroughness in daily work, superb organizational skills
  • Professional demeanor, ability to interface and articulate well with all levels of employees, management, and clients
  • Ability to meet deadlines and work effectively under pressure
  • High degree of motivation, sense of urgency, and professional demeanor
