About the role
The Graphics Print Production Planner manages the planning, coordination, and tracking of Print Shop projects from request intake through completion. This role serves as the Project Manager for all Print Shop jobs and projects.
Responsibilities
- Serves as the Project Manager for all Print Shop jobs and projects.
- Reviews incoming print requests for completeness, accuracy, deadlines, project coding, and required approvals.
- Collaborates with internal stakeholders to clarify job details, priorities, and timelines.
- Prepares budget estimates for internal and external Print Ship job and projects.
- Assigns, tracks, and monitors print jobs to ensure timely completion and alignment with project requirements.
- Maintains organized records of active, pending, and completed print jobs.
- Manages print shop workflow by identifying potential delays, missing information, or resource needs.
- Ensures each print job is coded to the correct project, department, or internal billing account.
- Manages all vendor and shop purchase orders related to Print Shop operations.
- Processes vendor invoices and ensures they are matched to the appropriate purchase orders and projects.
- Processes transfer billings for internal print jobs and services.
- PARTNERS WITH FINANCE AND INTERNAL STAKEHOLDERS TO RESOLVE BILLING OR CODING ISSUES.
- Orders and maintains print shop supplies and other production-related items.
- MONITORS INVENTORY LEVELS AND PROACTIVELY REORDER SUPPLIES TO AVOID PRODUCTION DELAYS.
- IDENTIFIES PROCESS IMPROVEMENTS TO INCREASE EFFICIENCY, ACCURACY, AND VISIBLENESS WITHIN PRINT SHOP OPERATIONS.
- MAY OPERATE PRINTERS AS NEEDED.
- PERFORMS OTHER DUTIES AS ASSIGNED.
Requirements
- Bachelor’s Degree in business management, project management or related field.
- 3 years of Project Management experience.
- Strong leadership, communication, problem-solving, and organizational skills.
- Strong organizational skills with the ability to manage multiple projects in a fast-paced, deadline-driven environment.
- Strong attention to detail and accuracy with purchase orders, invoices, project codes, and billing information.
- Able to learn and use internal systems for purchasing, billing, project tracking, and documentation.
- Strong written and verbal communication skills.
- Able to work professionally with internal teams, vendors, leadership, and shop personnel.
- Able to follow established procedures while identifying opportunities for improvement.
- Proficiency with Microsoft Office products including Outlook, Teams, SharePoint, PowerPoint, Excel, etc.
- The ability to travel 10%, based on project need.
- The ability to work flexible hours depending on the project/events assigned.
Qualifications
- Familiarity with print terminology, production timelines, paper types, substrates, finishing processes, or supply ordering.
- Prior experience serving as a project coordinator, production coordinator, or administrative coordinator.
- Experience using project management, and/or ERP systems.
