About the role

The Grants Specialist performs key oversight functions related to the administration of proposals and awards under the Sponsored Programs Administration (SPA) Office. This hybrid position requires residing within commutable distance to Wilmington, Delaware, and working from the office once per week.

Responsibilities

  • Monitors outstanding grant proposals and maintains status/tracking reports of all pending and submitted proposals.
  • Reviews, edits, and organizes grant documents in compliance with institutional policies for timely submission ahead of deadlines.
  • Identifies and recommends actions to resolve proposal content conflicting with Nemours policies and procedures.
  • Maintains up-to-date knowledge of federal, state, and institutional regulations related to proposal development, submissions, and grant administration.
  • Serves as a point of contact for inquiries regarding grant policies, procedures, and best practices.
  • Develops and updates training materials, SOPs, policies, and resources related to SPA and Grants Administration.
  • Facilitates the Subrecipient Monitoring process, including risk assessments, drafting and negotiating subawards, and maintaining records of subcontracts.
  • Tracks and collects subrecipient audit documents for internal and external audits.
  • Maintains records of all Prime RPPRs and other progress reports, notifying stakeholders of upcoming deadlines.
  • Ensures timely submission of technical progress reports or deliverables by principal investigators.
  • Facilitates preparation, review, and submission of administrative responses to sponsors, including Prior Approval Requests (e.g., No Cost Extensions, Carryover Requests, PI Change, Rebudgeting).
  • Facilitates Just in Time (JIT) documentation and the Change of Grantee Application process.
  • Interprets terms, conditions, and regulations associated with grants, contracts, and cooperative agreements.
  • Facilitates the hand-off of incoming prime grant awards to the post-award team for processing and project setup.
  • Maintains expertise in sponsor electronic grant processing systems (e.g., eRA, ASSIST, eBRAP, HRSA, Proposal Central, Research.gov) and provides guidance as a backup.
  • Creates system accounts for PIs and associates (e.g., eRA Commons) and provides job aids/instructions for system/account registration.

Requirements

  • Bachelor's degree required.
  • Minimum one year of grants management and pre/post-award experience; 3+ years preferred.
  • Experience in an academic or non-academic research healthcare organization preferred.
  • Considerable knowledge of federal guidelines, institutional policies, and procedures pertaining to external funding and awards.
