Grants Management Assistant
About the role
The Prince George’s County Department of Health is seeking a Grants Management Assistant (Administrative Assistant IA) grade A18 position in the Grants Management Division.
Responsibilities
- Aid in grant preparation by assembling, formatting, and organizing grant applications and supporting documents.
- Coordinate with staff to gather narratives, budgets, and attachments.
- grant packages submitted completed packages for internal review and approval.
- Track submission status by monitoring progress of grants under review and following up as needed.
- Review documents for accuracy by checking materials for completeness and compliance with requirements.
- Maintain grant trackers by updating logs and tracking tools for leadership reporting.
- Elevate unresolved grant-related issues to the Grants Manager and Administrative Compliance Chief.
- Support funding source tracking by helping identify activities supported by multiple funding sources or spanning fiscal years.
- Review internal reports to check reconciliation or status reports to ensure grant activities are accurately captured.
- Carry out other grant-related administrative tasks as assigned within the role.
- Assist with meeting preparation by assisting with scheduling, preparing agendas, and organizing materials for grant-related meetings.
- Maintain communication logs by keeping records of emails, updates, and follow-ups related to grant activities.
- Aid in training materials by helping prepare handouts, guides, and reference materials for staff involved in grant processes.
Qualifications
- Minimum Qualifications: Bachelor’s degree from an accredited College or University in Liberal Arts, one of the Social Sciences, or Public or Business Administration; or field closely related to assignment/functional area.
- Some experience in secretarial and general clerical work or related functional area.
