Grants Accounting Manager

Our Grant Accounting Manager plays a crucial role in ensuring financial compliance and providing valuable insights to project teams.
Essential Job Functions
Prepare, complete, and submit financial reports, including close-out reports, ensuring timeliness and accuracy.
Prepare timely and accurate financial reports for all grants in accordance with funder guidelines and deadlines.
Maintain detailed grant reporting files and documentation to ensure audit readiness.
Maintain an efficient record-keeping system for all budgets, ensuring accessibility and accuracy of financial data.
Monitor grant expenditures and ensure they are properly recorded, allowable, and aligned with approved grant budgets and restrictions.
Track grant revenue and expenditures within the accounting system and grant tracking tools.
Reconcile grant activity monthly to ensure accuracy between accounting records, internal grant tracking, and funder reports.
Provide regular reports on grant financial status to the Finance Director and Program Leaders.
Analyze allowable expenses and provide financial projections to support organizational planning.
Proactively identify and flag any variances, unspent funds, or compliance risks.
Aid in budget revisions and forecasting as needed to ensure optimal use of grant funds.
Collaborate with program staff to ensure alignment between financial reporting and programmatic activities and deliverables.
Communicate clearly and effectively with the Finance Director regarding reporting timelines, requirements, and any issues.
Provide requested data and documentation to external auditors as needed.
Collaborate with the CFO and Finance Director to develop and maintain policies, procedures, and systems for grant management and reporting.
Review financial transactions allocated to grant awards to ensure reasonableness, consistent treatment, and availability of funds.
Manage financial oversight of a complex grant portfolio, ensuring accuracy of financial data and compliance with funder policies and requirements.
Verify that financial activities comply with grant agreements, organizational policies, and applicable regulations.
Identify and address discrepancies in transaction allocations.
Analyze and monitor project fund and cash balances to ensure accurate tracking and reporting.
Provide regular updates to project teams, highlighting the status of funds and identifying potential financial risks.
Ensure the integrity of financial transactions and reporting related to grant awards.
Review financial reports prepared by senior staff for grants outside the Head Start (HS) and Comprehensive Preschool (CP) programs.
Ensure the accuracy, completeness, and compliance of financial reports with funder requirements.
Qualifications and Requirements
Bachelor’s degree in Accounting, Finance, or a related field.
3+ years of experience in grant accounting, financial analysis, or a related role.
Knowledge of GAAP and grant compliance standards.
Proficiency in financial systems and tools, such as NetSuite, and Microsoft Office tools with advanced Microsoft Excel skills.

Working Conditions and Physical Requirements
Work Location: 1740 Langdon Farm Road, Cincinnati, Ohio
Work Hours: 8:00 a.m. to 5:00 p.m. Monday through Friday
Physical Requirements: Ability to talk, hear and communicate with co-workers, clients, children and/or parents; see and be able to read, write, and interpret written documents; use hands to manipulate, handle feel, and control items or equipment; use hands to operate into a laptop computer or tablet; lift and move objects weighing up to 15 pounds
