Core Duties
- Verify accuracy of multiple weekly, biweekly, semi-monthly, and monthly US & International payrolls including but not limited to manual payments, employee changes, wage orders/liens, garnishments, misc. deductions, payroll reports (including the storage/backup).
- Transmits payroll files for processing.
- Aids employees or managers with questions about payroll policies and pay discrepancies.
- Completes new hire setup in payroll systems.
- Aids in the preparation of year end W-2s or other related tax filings or reports.
- Handles complex issues and problems and refers only the most complex issues to higher-level staff.
- Possesses comprehensive knowledge of subject matter.
- Inputs changes to personnel information or tax law and overtime or bonus payments or calculations.
- Oversees preparation and processing of all payroll processes to ensure accuracy and timeliness.
- Audits employee payroll records and employee payroll tax records to ensure accuracy and compliance with both state and federal regulations.
- Works with federal, state, and local compliance and taxation agencies and has responsibility for verifying city, state and federal reports are filed on time and accurately (quarterly, annually, W-2s, etc.).
- Regularly reports/fills 401k, HSA, WA L&I, Canada workmen's comp, Canada CPA union, and Canada RRSP.
- Provides training to managers as needed relating to Time and Attendance.
- Performs time system maintenance such as submission of tax notices, verification of tax notices handled by third parties correctly, addition of PTO plans, addition of new Hire PTO, verification of yearly PTO accruals, and yearly SUI rate changes.
- Affords assistance with acquisitions and implementations.
- Acts as liaison between Accounting, HR, and payroll.
- Maintains monitoring processes, recommends improvements, and implements the improvements.
- Creates and modifies process documentation and checklists.
- Ensures compliance with company policies and Government Laws and Regulations.
- Processes general (GL) ledger entries, reconciles payroll GL accounts, and supports Accounting team as required.
Basic Qualifications
- Bachelor’s degree in business or related field preferred or equivalent experience.
- Minimum 5 years multi-state beginning to end payroll processing experience.
- Previous Workday Payroll experience is required.
- Expert or intermediate Excel proficiency.
- Proficient in MS Office Suite.
- Analytical, critical thinking skills, and strong proven problem-solving abilities.
- Demonstrated written and verbal communication skills.
Desired Qualifications
- Workday Super User preference.
- International payroll experience highly desirable but not required.
- Bilingual in Spanish, French, German, or Dutch is highly desirable but not required.
