Global Payroll Admin
The Role
The Global Payroll Administrator provides essential day-to-day administrative and processing support for both domestic and international payroll operations. This role is responsible for accurate data entry, timekeeping maintenance, initial auditing, and resolving routine employee payroll inquiries. The Administrator ensures seamless execution of US bi-weekly/weekly payroll, directly coordinates fully managed payrolls in France and the UK, and supports the company's Canadian PEO payroll tasks.
What You’ll Do
- US Payroll Administration & Data Entry
- Execute precise and timely monthly, bi-weekly, and weekly payroll data entry.
- Monitor hourly timekeeping systems (TAA), following up with managers to resolve missed punches and approval delays.
- Calculate and process authorized off-cycle checks and manual payments.
- Input and process approved bonus payments, ensuring proper tax withholding parameters.
- Audit data entries for Change of Status (COS), new hire profiles, and employee terminations.
- Support the administrative processing of annual compensation data adjustments.
- International Payroll Administration (Fully Managed & PEO Models)
- France / UK (Fully Managed): Support fully managed France and UK operations by participating in the onboarding employees, reviewing and approving Store Manager entries, processing bonuses, submitting payroll, and processing separations.
- Canada (PEO Model): Serve as the administrative point of contact for the Professional Employer Organization (PEO), compiling and delivering standardized bonus reports and answering routine questions from the PEO as needed.
- Finance Collaboration: Support Payroll Manager in delivering monthly international reports, track and route Deel invoices for payment,
Reporting, Compliance & Ticket Management
- Support Payroll in creating and distributing monthly time & attendance reports across Corporate, Retail, Factory, and Distribution Center (DC) locations.
- Support Payroll Manager in generating bi-annual time-off and accrued leave usage reports.
- Monitor, triage, and resolve incoming Tickets (to the company’s ticketing system) regarding payroll, tax changes, and time & attendance.
- Ensure strict adherence to Fair Labor Standards Act (FLSA) guidelines regarding hours worked, overtime calculations, and meal break penalties for non-exempt staff.
- Maintain organized, secure, and compliant digital payroll record retention
Payroll Administration
- Support weekly management of payroll mail including filing, tax notice support and state information requests
- Support the broader People team with seasonal or ad-hoc administrative projects as assigned.
What You’ll Bring
- Experience: 1–3 years of payroll admin or related experience, preferably with exposure to both hourly/non-exempt workforces and global payroll concepts.
- Systems Knowledge: Prior experience with HRIS/Payroll platforms and digital global payroll environments is preferred.
- Technical Skills: Intermediate proficiency in Microsoft Excel (ability to use basic formulas, VLOOKUPs, and sort/filter large datasets securely).
- Compliance Knowledge: Basic understanding of US wage and hour laws (overtime, state-specific pay frequencies). Understanding the operational differences between fully managed international entities and PEO structures is a plus.
- Soft Skills: Exceptional attention to detail, high confidentiality, excellent time management skills with ability to prioritize and multitask based on deadlines, customer-service-oriented approach to solving employee inquiries.
Compensation
At Reformation, we believe in transparency and equity when it comes to compensation. For this role, the anticipated base hourly range is $24 - $31 / hour, depending on a variety of factors, including but not limited to relevant experience, skills, qualifications, and internal compensation equity.
This role may also be eligible for an annual discretionary bonus based on a range of factors, including company performance, department goals, and individual contributions. Bonus amounts and eligibility are not guaranteed and are determined at the company’s discretion.
