GIS Contract Coordinator
Position Summary
The GIS Contract Coordinator is responsible for coordinating, administering, and monitoring contracts related to Geographic Information Systems (GIS) projects, services, software, and vendor relationships. This role serves as the liaison between internal departments, GIS teams, procurement, legal, finance, and external vendors to ensure contractual compliance, timely project delivery, budget management, and operational efficiency.
Key Responsibilities
Coordinate the full lifecycle of GIS-related contracts, including initiation, review, execution, amendments, renewals, and closeout.
Maintain contract databases and tracking systems to ensure accurate and up-to-date records.
Monitor contract terms, deliverables, milestones, expiration dates, and renewal requirements.
Ensure compliance with organizational procurement policies and contractual obligations.
Aid in the preparation and review of Statements of Work (SOWs), service agreements, and contract modifications.
Vendor and Stakeholder Management
Serve as the primary point of contact for GIS vendors, consultants, and service providers.
Cook up communication between GIS teams, procurement, finance, legal, and vendors.
Monitor vendor performance against contractual service levels and project deliverables.
Aid in resolving contract-related issues, disputes, and performance concerns.
Project Coordination
Support GIS project managers in tracking project schedules, deliverables, budgets, and resource allocations.
Cook up project documentation, status reports, and contract-related communications.
Ensure contract requirements align with project goals and timelines.
Aid with project onboarding and vendor access management when required.
Financial Management
Track contract expenditures, budgets, purchase orders, and invoicing activities.
Review invoices for accuracy and ensure payments are processed in accordance with contract terms.
Support budget forecasting and financial reporting related to GIS contracts and projects.
Identify potential cost-saving opportunities and contract efficiencies.
Data and Documentation Management
Organize and maintain GIS contract records, project files, and vendor documentation.
Develop standardized templates, procedures, and workflows for contract management.
Support document control and records retention requirements.
