Brown County Community Treatment Center – positions at Nicolet Psychiatric Hospital, CTC Outpatient Clinic, Bayshore Village Nursing Home, and Bayhaven CBRF.
About the role
Performs receptionist and general clerical work under basic supervision while exercising independent judgment and critical thinking in transactions with the public. Responsible for answering and redirecting incoming calls, handling cash transactions, record keeping, receiving the public, and providing general customer service and staff assistance.
Responsibilities
- Maintain the confidential nature of client and business information, records, and documents per departmental standards and State/Federal confidentiality laws.
- Answer incoming phone calls and inquiries of a general, non-restricted nature or refer inquiries to the proper official or department.
- Receive and relay messages to the proper department or employee, either in paper or electronic format.
- Acknowledge and greet clients/visitors as they arrive, directing them and providing information.
- Notify appropriate staff person when a client/visitor has arrived and/or is waiting for an appointment.
- Maintain a professional and friendly demeanor with all internal and external customers, clients, and staff members.
- Receive payments, issue receipts, and account for monies handled.
- Obtain information from the public, clients, and/or staff members for completion of forms and documents.
- Maintain computer information system(s).
- Monitor video camera and inform department manager of any issues or concerns.
- Develop and maintain files according to departmental standards.
- Prepare office for business and close office when applicable.
- Assist with various projects and programs as needed.
- Maintain a clean, safe, and organized working environment.
- Attend in-service training and meetings as required.
- Greet walk-in clientele and assist them as necessary.
- Perform specialized clerical assignments executed with minimal supervision.
- Perform data entry functions into various departmental databases and documents.
- Assist departmental staff with clerical needs such as faxing, copying, and printing.
- Sort and distribute department mail and correspondences.
- Handle, document, and reconcile resident trust funds in compliance with regulatory and organizational policies.
- Assist with management of petty cash accounts, ensuring proper documentation and reconciliation of expenditures.
Schedule
Every other weekend; Saturday & Sunday 12:15 pm – 5:15 pm.
Physical demands
- Exposure to normal office conditions and usual office equipment (telephone, personal computer, printers/copiers, reports, and files).
- Lifting 20 pounds maximum with frequent lifting and/or carrying of objects weighing up to 10 pounds.
- Extended periods of sitting; intermittent standing and walking.
- Using hand(s) for single grasping, fine manipulation, pushing and pulling, and operating controls.
- Frequent bending, twisting, squatting; occasional reaching.
- Communicating verbally in a clear manner.
- Distinguishing sounds at various frequencies and volumes.
- Distinguishing people, objects, and written materials at varied distances under a variety of light conditions.
Qualifications
- Excellent phone etiquette.
- Ability to thrive at work with minimal supervision and to exercise good, independent judgment.
- Ability to work a flexible schedule.
- Proficiency in Microsoft Office programs (MS Office Word, Excel, Outlook).
- Ability to operate a variety of standard office equipment such as computers, calculators, copiers, and fax machines.
- Typing speed of 40 net words per minute or greater.
- Strong written and verbal communication skills.
- Ability to print and write legibly.
- Ability to understand and carry out oral and written instructions.
- Ability to establish and maintain effective working relationships with staff and the public.
