Full-Time On-site position in Springfield, MA. Reports to: Front Office Operations Manager.
Requirements
- High school diploma with 1-2 years related experience.
- Prefer candidate with previous experience in the medical field as a medical assistant, switchboard/call center/receptionist, medical records coordinator or insurance professional.
- Knowledge of medical terminology preferred, including Health Insurance Portability and Accountability Act (HIPAA).
- Detail-oriented; able to work accurately and efficiently in a fast-paced environment where multi-tasking is required.
- Strong time management and organization skills; self-discipline.
- Bilingual, articulate in conversational interpretation.
- Ability to positively interact with patients, personnel, visitors, and the general public.
- Discretion in handling confidential information.
- Ability to work independently, problem solve, and make decisions when necessary.
- Computer literate in basic word processing applications and data entry.
- Friendly, reliable, and professional in behavior and appearance.
- Ability to establish and maintain effective working relationships with employees, individuals seeking assistance, and the general public.
Responsibilities
- Ensure accuracy and completeness of data entry for patient information, including insurance details.
- Efficiently schedule medical appointments for returning and new patients.
- Maintain current knowledge of time requirements for patient visits, physician preferences, and work schedules.
- Oversee all patient/visitor activity; track reason and presence in clinic.
- Coordinate and schedule appointments for the deaf and hearing impaired.
- Make timely patient reminder calls.
- Monitor and address patient/visitor needs promptly.
- Ensure waiting area, front entry, and reception desk are orderly and professional.
- Monitor safety and noise levels in the waiting area.
- Handle inquiries (hours, location, programs, patient eligibility, etc.) professionally.
- Refer acutely ill patients to nursing for triage in person or over the phone.
- Verify patient eligibility via Internet access (Eligibility Data Service and other systems).
- Complete required intake paperwork and dispense appropriate forms to patients.
- Inquire about changes in patient address, phone, financial, or insurance status.
- Photocopy identity and income statements; route patients with incomplete information to the Front Office Operations Manager.
- Assist patients in filling out forms; review medical and intake forms for accuracy and completeness.
- Provide interpretation and recruit other language interpreters as needed.
- Inform patients about entitlement policies and procedures under supervision.
- Assist with patient scheduling and checkout.
- Maintain a daily log of patient encounters and provide reports of new patient visits as required.
- Carry out additional tasks as needed in situations requiring participation.
- Maintain a clean, organized, and orderly work area to facilitate staff interactions and reflect well on the health center.
- Maintain adequate supplies of necessary intake paperwork and order as appropriate.
