Schedule
- Offices open Monday–Friday 8 am–6 pm, Saturday 8 am–1 pm (exact hours vary by day and location)
- Must have open availability to work any shift within these hours
About the Role
A Front Office Specialist acts as the first point of contact, setting the tone for a world-class Total Patient Experience. This role performs administrative tasks to create a smooth check-in and check-out experience for patients.
Responsibilities
- Embrace and execute the Total Patient Experience to build relationships with all patients while delivering great service and support
- Provide exceptional customer service during every patient encounter (in person or via phone)
- Display a professional attitude, greet patients promptly with a smile, and thank them when they leave
- Answer phones (both external and internal) and ensure prompt, courteous service at all times
- Practice urgency with consideration to the patient’s time, as well as the doctor’s time and schedule
- Double-check insurance authorizations to ensure completion and build accurate flow sheets
- Check out patients and collect correct payments according to procedures
- Manage patient flow in the office and ensure communication to maximize efficiency and customer service
- Complete daily reconciliations, close the day, and count down the cash drawer
- Comply with all company policies and procedures, including HIPAA
- Perform general office duties and cleaning as assigned by the manager
Requirements
- Previous medical office experience preferred; previous optometry and/or ophthalmology experience strongly preferred
- Minimum of 1 year in a position interacting with customers/patients or equivalent combination of education and experience
- Favorable result on background check as required by state
- Must be able to provide proof of identity and right to work in the United States
- High school diploma or GED required
- Proficient in Microsoft Excel, Word, PowerPoint, and Outlook
Work Environment
- Primarily performed in a standard office or clinical setting
- Travel to other locations may be required to carry out essential job duties and responsibilities
Physical Requirements
- Frequent walking (75%), sitting (50%), and standing (50%)
- Regular bending, stooping, and reaching (25–50%)
- Must be able to lift, carry, push, and pull items up to 25 lbs
- Strong fine motor skills and full use of hands for constant grasping, writing/typing, and use of technology
- Visual and auditory acuity—including color, depth, peripheral vision, and ability to adjust focus—required 100% of the time
- Occasional driving or climbing may be necessary
