About the Role

Performs a range of basic office support activities for the clinic, such as answering phones, greeting and directing patients and visitors, and performing routine clerical, data entry, file maintenance, and word processing work as assigned. Bilingual English/Spanish required.

Pay: $16.50 - $18.25 DOE. Employees can receive up to $520 on the quarterly bonus.

Responsibilities

  • Answers telephones, routes calls, takes messages, and provides general information; greets and directs visitors and patients; and answers routine inquiries.
  • Processes incoming mail; distributes correspondence and other material to clinic staff.
  • Performs a variety of routine clerical assignments; may operate a personal computer to draft basic correspondence, enter data, and print letters, labels, reports, and/or other materials.
  • Copies and/or duplicates materials as requested; may prepare and transmit facsimiles for clinic staff.
  • Establishes, maintains, processes, and/or updates files, records, and/or other documents.
  • May perform specialized services of a routine clerical nature in strict accordance with established procedural guidelines.
  • May run various routine errands for the clinic.
  • Prepares patient charts for appointments and maintains chart-filing system.
  • Assembles charts per chart organization requirements.
  • Files all lab, x-ray, specialist, pharmacy, and hospital reports according to chart organization format.
  • Files and retrieves medical records.
  • Records data on “No-Shows, Reschedules, and Cancellations” and notifies appropriate provider to execute any necessary action.
  • Calls patients to remind them of scheduled appointments the day prior.
  • Schedules clinic appointments both by phone and in person; accommodates unscheduled (walk-in) patients as appropriate.
  • Checks patients in for appointments and updates patient information as needed.
  • Verifies patient documentation regarding notices, insurance, and financial information.
  • Receives payments and enters payments in the computerized billing system.
  • Enters daily patient encounters in the computer.
  • Provides translation/interpretation as needed (if applicable).
  • Processes daily reports as required.
  • Makes bank deposits as necessary.
  • Performs miscellaneous job-related duties as assigned.

Requirements

  • High school diploma or GED.
  • Computer skills and familiarity with Microsoft programs required.
  • 6 months experience working in a medical or behavioral health clinic preferred.

Skills

  • Ability to understand and follow specific instructions and procedures.
  • Ability to prepare and print routine correspondence, labels, and/or other basic written material.
  • Skill in the use of operating basic office equipment.
  • Receptionist skills.
  • Ability to maintain calendars and schedule appointments.
  • Records maintenance skills.
  • Word processing and/or data entry skills.

  • Committed to the highest standards of ethics and integrity, ensuring accurate reporting and billing practices in accordance with FHS, state, and federal regulations.
  • Must participate in compliance trainings and report any concerns or activities that may violate standards.
  • Will be trained on the FHS Medicare Compliance Plan and the Standards of Conduct and must sign a Conflict of Interest Statement at hire and annually thereafter.
  • Expected to participate in the Patient Centered Medical Home (PCMH) process as an active and willing team member.
  • Must read and understand the general and specific operational, safety, and environmental requirements of all plans, procedures, and policies pertaining to this job.

Working Conditions

Work is normally performed in a typical interior/office work environment. No or very limited physical effort required. No or very limited exposure to physical risk.
