About the role
We are looking for a compassionate and discreet front office professional with superb time management and record-keeping skills. The ideal candidate will be a confident and professional administrator with excellent communication and interpersonal skills, contributing to the efficient day-to-day administration of our healthcare facility. Top candidates will work comfortably under pressure while multitasking in a fast-paced environment and can effectively respond to patient emergencies.
Responsibilities
- Greet patients with a warm and friendly demeanor, ensuring they feel welcomed and comfortable upon arrival.
- Handle patient registration, verify insurance information, and assist with necessary paperwork.
- Manage the appointment calendar efficiently to optimize scheduling of patient visits and coordinate with oral surgeons and clinical staff to minimize waiting times.
- Answer incoming phone calls and respond to email inquiries promptly and professionally, providing accurate information about services, appointments, and office policies.
- Maintain and update patient records with accuracy and confidentiality, ensuring all documentation is complete and organized.
- Collaborate with patients to verify insurance coverage, including prior authorizations and pre-determinations, and assist them in understanding their benefits and financial responsibilities.
- Coordinate administrative tasks such as ordering office supplies, managing mail, and liaising with vendors to maintain smooth office operations.
- Deliver exceptional customer service to ensure a positive patient experience from check-in to check-out, addressing concerns and resolving issues.
- Comply with all office policies, procedures, and protocols to maintain a safe and efficient working environment while ensuring confidentiality of all sensitive information.
Requirements
- High school diploma or equivalent.
- 1 or more years of experience as a Front Office Administrator, Receptionist, or similar role in a healthcare or dental setting.
- Proficiency in computer software applications, including Microsoft Office.
- Strong organizational skills and attention to detail for handling patient records, scheduling, and administrative tasks.
- Professional language and customer service mindset.
- Effective written and verbal communication skills.
- Ability to use discretion while working with sensitive information.
- Passion for healthcare excellence.
Special Requirements
- In-office work is an essential function of this job.
- Physical requirements include sitting, stooping, turning, standing, bending, walking, hearing, reading, writing, and keyboarding; may lift up to 25 lbs.
Schedule
Monday to Friday, 8-hour shift.
