Front Office Assistant (Bilingual)

Daily responsibilities

  • Maintain front office operations.
  • Welcoming and greeting visitors, vendors, and contractors.
  • Responding to inquiries via various means (in-person, phone, email).
  • Create, mail, and email correspondence to homeowners, board of directors, and committee members.
  • Data entry and updating of homeowner information in the database.
  • Organizing and filing documents.
  • Walk-inspection of the property to ensure compliance with HOA rules, regulations, and guidelines.
  • Send out HOA Code violation letters to homeowners.
  • Follow up with homeowners to ensure violations have been corrected.
  • Assist with the architectural review process, forms, and paperwork.

Requirements

  • 2+ years of experience as an administrative assistant in an office setting.
  • Administrative experience from the HOA, leasing, apartment, hotel, hospitality industries are desired.
  • Fluency in English and Spanish is required.
  • Excellent communication skills, both written and spoken, are required.
  • Friendly, outgoing, and team-oriented personality.
  • Career-minded and self-managed with proactive work habits.
