About the role
We are seeking a Patient Services Representative (Front Desk) to join our team and help provide the finest orthopaedic care. This role requires sensitivity and responsiveness to patients’ needs and preferences, with a focus on maintaining high standards of service and professionalism.
The position is full-time (forty hours per week) and may require flexibility in scheduling to ensure efficient service, though employees will work no more than five days per week. A working knowledge of computers and the ability to learn office software programs is essential.
Responsibilities
- Schedule and monitor assigned physicians’ schedules to ensure full booking while adhering to the AO’s 20-minute wait time policy.
- Check in patients and reschedule appointments as necessary.
- Verify patient insurance by scanning proper documentation.
- Explain office forms to patients and answer phone calls.
- Monitor waiting times and call patients requiring hand-carried X-rays.
- Collect co-pays and direct patients to proper locations (e.g., imaging center, physical therapy, other offices).
- Route documents faxed to and from the office.
- Assist patients with special needs, such as those requiring wheelchairs.
- Perform basic clerical activities and comply with all HIPAA laws and regulations.
- Maintain confidentiality and professionalism when handling sensitive patient information.
- Interact professionally with office staff, clinical staff, patients, medical groups, adjustors, nurse case managers, hospitals, and primary care physicians.
- Travel to all company locations as needed (home office based in either Beaumont or Hemet).
- Perform additional duties as assigned by the supervisor.
Requirements
- High school diploma or equivalent.
- Ability to type 40 words per minute.
- Proficiency in operating computers, scanners, and software programs, including Microsoft Outlook.
- Excellent telephone etiquette, customer service, and professional communication skills.
- Ability to multitask in a stressful setting and adapt to flexible scheduling.
- Bilingual in Spanish (preferred).
- Strong leadership capabilities.
Physical Demands
- Requires sitting, walking, occasional stooping, reaching, and bending.
- Occasional lifting up to thirty pounds.
- Hearing must be within normal range for telephone and in-person communication.
- Manual dexterity sufficient to operate keyboards and other office equipment.
