This is a Contract position suited for someone who enjoys being the first point of contact for visitors while keeping administrative tasks organized and on track in a fast-paced environment.
Responsibilities
- Welcome visitors, manage front desk activity, and create a detail-focused first impression for everyone entering the office.
- Handle incoming calls through a multi-line phone system, direct inquiries to the appropriate contacts, and relay messages accurately.
- Receive, sort, and distribute mail and deliveries while helping maintain orderly day-to-day front office operations.
- Provide administrative support through scheduling, document handling, data entry, and other general office coordination tasks.
- Partner closely with internal team members to support reception coverage and ensure smooth communication across the workplace.
- Assist with office events and special projects, including preparation, coordination, and follow-up for onsite activities.
- Support facility-related needs such as monitoring shared spaces, responding to routine requests, and helping with general office upkeep.
- Take on additional duties as needed, including hands-on tasks that help keep the office running efficiently throughout the day.
Requirements
- Prior experience in a receptionist, front desk, or administrative support role within an office setting.
- Ability to manage a multi-line phone system and respond to inbound calls with accuracy and professionalism.
- Strong interpersonal skills with a friendly and customer-focused approach to visitors and staff.
- Comfortable balancing routine administrative work with changing priorities and occasional ad hoc assignments.
- Solid organizational skills and attention to detail when handling mail, messages, schedules, and office records.
- Ability to work collaboratively with colleagues while also managing front desk responsibilities independently.
- Experience supporting office coordination, concierge-style service, or facilities-related tasks is preferred.
