Pain Specialists of America ("PSA") is a Texas-based, multisite comprehensive pain management company with over 15 locations. We are seeking talented professionals to support the business and help achieve its strategic objectives.
About the role
The Front Desk Coordinator serves as the initial point of contact for all incoming patients. This customer service-driven position requires strong communication skills, a welcoming demeanor, and the ability to maintain composure when handling sensitive issues.
Responsibilities
- Check patients in, print medication lists, and provide necessary paperwork
- Collect co-pays and balances; set up recurring credit card payments and process payment plans per protocol
- Prepare the schedule one day in advance to verify balance accuracy and notify patients about payment plans
- Document all payments and non-payments on the schedule and provide to the manager at the end of the day
- Verify and update patient demographics; enter information into the corresponding EHR/EMR
- Ensure all patients sign the Opioid contract and LOP patients sign the LOP Lien
- Scan paperwork into appropriate systems
- Confirm appointments and send referral letters
- Retrieve procedure cost estimates from S-FAX
- Answer incoming calls, check voicemails, EMR/EHR messages, and emails daily
- Maintain up-to-date HIPAA information in patient charts
- Keep the reception, waiting area, and workstation tidy and professional
- Maintain patient confidentiality
- Travel as needed
- Other duties as assigned
Requirements
- High school diploma or equivalent
- Experience working in a busy clinic handling a large volume of patient calls and in-person visits
- Strong knowledge of medical and health insurance terminology
- 1 year of experience scheduling and coordinating patient medical appointments
- Front desk experience in a busy medical office (highly preferred)
- Proficient in MS Word, Excel, PowerPoint, and Outlook
