Front Desk Coordinator

About the Role
This position is typically the first point of contact for clients visiting the office or calling, ensuring they receive a great experience. You will provide administrative and clerical support to the escrow department, open orders, and ensure the accurate and timely delivery of title orders.
Responsibilities
- Answer and direct telephone calls to appropriate individuals or departments, taking accurate messages professionally and courteously.
- Greet clients, address their questions and concerns, and direct them to the appropriate individuals or departments.
- Accept earnest money and provide accurate receipts; deposit funds in accordance with company policies and customer requirements.
- Process title orders received via email, fax, telephone, or in-person by promptly and accurately inputting data into the production system.
- Verify the completeness and accuracy of order information, including legal descriptions, addresses, buyer/seller names, and property data; obtain clarification as needed.
- Research, create, and deliver reports for property profiles, such as chain of title, tax statements, assessments, plat maps, demographics, legal descriptions, and parcel numbers.
- Perform a variety of clerical tasks, including mail duties, filing, ordering supplies, typing documents, making copies, scanning, recording, obtaining assessments, and light bookkeeping.
- Adapt positively and productively to changes, including expanding job responsibilities and expectations.
- Adhere to all company policies and standards, including prompt, predictable, and regular attendance.
- May use a company or personal car to deliver information to clients, customers, banks, courthouses, etc.
- Perform other job duties as required.
Requirements
- At least 18 years of age.
- High school diploma or equivalent.
- At least one year of relevant work experience in customer service or a related field; experience in an office, title, escrow, or banking is a plus.
- Proficiency in Microsoft Office Suite or related software; ability to learn new programs quickly.
- Valid driver’s license and ability to operate a motor vehicle.
- Strong organizational skills, attention to detail, problem-solving abilities, and the capacity to meet deadlines.
- Ability to prioritize tasks and notify others when assistance is needed.
- Passion for working with people and delivering excellent customer service.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to lift up to 15 pounds at times.
