About the Role

This position entails managing all administrative tasks associated with the legal process of NY foreclosures. These tasks generally include drafting, responding to correspondence, and updating client systems. The role requires substantial coordination with other legal assistants and attorneys in a multi-disciplinary team environment.

Responsibilities

  • Consistently and accurately update the firm’s internal case management system, as well as clients’ systems.
  • Provide exceptional customer service to clients at every level of interaction.
  • Support attorneys in a high-volume, time-sensitive atmosphere.
  • Provide regular and timely client status updates, as well as continual follow-up on outstanding documents and services.
  • Conduct legal research and analysis to support case strategy and preparation.
  • Manage and organize case files, including electronic and physical documents.
  • Communicate with clients and court personnel professionally and effectively.
  • Draft legal notices, pleadings, foreclosure Summons, and Complaint.
  • Update case management and client systems accurately and promptly.
  • Perform other duties and responsibilities as needed.

Requirements

  • Minimum of a High School Diploma; preferably an associate degree.
  • Preferably at least 2 years of relevant work experience, with foreclosure experience preferred.
  • Excellent verbal and written communication skills.
  • Commitment to providing exceptional customer service.
  • Ability to communicate courteously and effectively with borrowers, clients, attorneys, and other internal or external parties.
  • Ability to work in a congenial, team-oriented manner.
  • Exceptional organizational skills, with the ability to multi-task and adapt to continual change.
  • High-level proficiency in MS Office suite and internet research activities.
  • Familiarity with case and document management software.
  • Experience with client systems such as Loansphere, Lenstar, Clairfire, Tempo, and Vendorscape is preferred.
  • Good understanding of the legal process surrounding foreclosure preferred.
  • Experience with drafting legal documents and pleadings, such as complaints and motions.
  • Experience with title review and title resolution is preferred but not required.
  • Proficiency in operating office equipment such as computers, fax machines, scanners, photocopiers, typewriters, and telephones.

  • Frequently required to sit, talk, or hear.
  • Occasionally required to stand, walk, use hands to finger, handle, or feel; reach with hands and arms; and stoop, kneel, or crouch.
  • Must occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required include close vision and the ability to adjust focus.

  • Normal office working conditions, with quiet to moderate noise level.
