About the Role

UC Merced Division of Professional and Continuing Education's (PACE) mission is to build and support a culture of lifelong learning by offering real-world, high-quality, flexible, and innovative educational offerings. The Financial Services Analyst, under the direction of the Director of Strategic Initiatives, will manage the day-to-day financial operations of PACE, a self-supporting unit within UC Merced's Academic Affairs Division.

The role involves financial management, reconciliation of general ledgers, preparation of monthly budget reports, and ensuring compliance with UC policies. The analyst will manage complex revenue streams, create financial reports and dashboards for internal and external stakeholders, and prepare the annual budget and 3-year strategic financial plan for PACE leadership.

Responsibilities

  • Apply financial services concepts (accounting, accounts receivable/payable, purchasing, collections, and billing) to resolve issues and prepare business process procedures and policy recommendations.
  • Reconcile, track, and report financial transactions related to PACE revenue sharing with campus and external partners, ensuring compliance with University policy.
  • Manage and reconcile all PACE revenue and expense funds, including fiscal year close coordination.
  • Coordinate fund transfers related to course revenue and services between PACE and UC campus partners.
  • Prepare and submit purchasing requisitions, complex travel and entertainment reimbursements, and low-value orders; manage Procurement Card.
  • Prepare check requests, general correspondence, spreadsheets, and track expenses to ensure all goods are received and entered for payment.
  • Coordinate annual PACE clean-up at fiscal close and final reconciliation.
  • Ensure divisional compliance with applicable UC policies and procedures.
  • Prepare detailed monthly reports tracking the division's appropriations, revenues, expenses, and balances for the Academic Affairs Financial Team.
  • Prepare quarterly financial management reports for the PACE Leadership team to support decision-making.
  • Perform detailed analysis of revenue and expense accounts using data from multiple systems.
  • Conduct annual assessments of financial processes and develop dashboards of quarterly and annual revenue and expense outcomes.
  • Provide ongoing data analysis, including analysis of special projects and annual cost/expense analysis of PACE courses and programs.
  • Prepare budget forecasts and modeling for new programs proposed for PACE.
  • Coordinate and track annual PACE academic appointments, hiring requests, and monitor appointments for proper reappointment, payment, and separation.
  • Collect and maintain records of budget proposals and consolidate proposals in the PACE annual report.
  • Track expenditures and monitor costs to ensure compliance with PACE policy; notify leadership of any issues or discrepancies.
  • Prepare revenue-sharing memoranda and recommend process improvements.
  • Serve as the alternate building operations manager for 1635 M Street, supporting emergency response, lease and utilities review, maintenance coordination, and building security.

Requirements

  • Bachelor's degree from an accredited university in Accounting, Finance, Economics, Business Administration, Business Management, or a related area, and/or equivalent experience/training. (Required)
  • Three (3) years of directly related, progressively responsible experience in finance or accounting, or a combination of education and experience. An advanced degree in business administration, finance, or economics may substitute for one year of experience. (Required)

Skills

  • Thorough knowledge of financial processes, policies, and procedures.
  • Thorough knowledge of financial data management and reporting systems.
  • Skill in using reporting tools (such as Power BI) to produce accurate financial reports and dashboards.
  • Strong proficiency in spreadsheet and database software.
  • Strong interpersonal, analytical, service orientation, active listening, critical thinking, attention to detail, multitasking, organizational, verbal and written communication skills.
  • Ability to function effectively as a team member and adapt to changing priorities.
  • Thorough knowledge and understanding of internal control practices and their impact on protecting University resources.
  • Leadership skills to provide guidance, coaching, and mentoring to professional and support staff. (Preferred)
  • Thorough knowledge and understanding of Oracle Financials and Smartview. (Preferred)
