Job Duties
- Assist the Research Operations Manager with budget preparation, financial tracking, and expense monitoring for service centers and research programs.
- Prepare routine financial reports, spreadsheets, and supporting documentation.
- Reconcile accounts and assist with reviewing financial transactions for accuracy and completeness.
- Track revenues and expenditures and identify discrepancies for manager review.
- Absorb and distribute service center invoices under the direction of the Research Operations Manager.
- Assist with monitoring accounts receivable and maintaining invoice records.
- Collect, organize, and maintain financial data used for service center cost analyses and rate development.
- Absorb and track service center expenditures, revenues, and utilization metrics.
- Absorb and support inventory tracking and financial record management for service center supplies and equipment.
- Assist with the preparation of grant budgets and budget documentation for proposal submissions.
- Maintain grant-related financial records, spreadsheets, and supporting documentation.
- Absorb and monitor sponsored project expenditures and budget balances for managerial review.
- Gather and organize documentation required for sponsor and institutional reporting.
- Absorb and support pre-award and post-award administrative activities as directed.
- Absorb and assist with financial reconciliations and tracking of grant-related expenditures.
- Process financial transactions in SAP, SRM, and other institutional systems.
- Absorb and assist with procurement activities, payment requests, and vendor-related documentation.
- Maintain departmental financial files and electronic record systems.
- Support audits, special projects, and process improvement initiatives.
- Perform other related duties as assigned.
Minimum Qualifications
- A high school diploma or GED.
- Four years of relevant experience.
Preferred Qualifications
- A bachelor’s degree in finance, Accounting, Business Administration, Economics, Healthcare Administration, or a related field.
- One year of relevant experience.
- Internship, student employment, or academic project experience involving finance, accounting, budgeting, business operations, or data analysis.
- Strong analytical, organizational, and problem-solving skills.
- Proficiency in Excel and Microsoft Office applications.
- A strong attention to detail and ability to maintain accurate records.
- Effective written and verbal communication skills.
- The ability to learn institutional policies, procedures, and financial systems.
- The ability to work collaboratively in a team-oriented environment.
- An interest in financial management, research administration, or higher education administration.
- Experience using Excel for data analysis, reporting, or financial tracking.
- Familiarity with financial, accounting, or enterprise systems through coursework, internships, or prior employment.
