Full-time position based in the Oklahoma Support Center with remote flexibility. Occasional travel to the Support Center and communities is required; all travel expenses are fully covered.

About the Role

The Manager, Financial Planning & Analysis supports the Chief Compliance Officer by providing financial insight and analysis focused on Milestone's assisted living communities. This hands-on analytical role builds and maintains financial models, monitors community-level performance, and identifies opportunities for business improvement across the assisted living portfolio. The FP&A Manager provides direct analytical support to community leadership and the Senior Leadership team on financial performance related to independent living, assisted living, and memory care, and serves as the coordination point between Milestone, its communities, and third-party accounting services on payables and general accounting matters.

The role balances rigorous analysis with operational partnership: models are built to be used, reporting is distributed proactively, and anomalies are surfaced early enough to be corrected. Responsibilities

  • Financial Analysis & Business Improvement:
    • Identify business opportunities and drive improvement across assisted living communities through rigorous analysis.
    • Build and maintain financial models supporting occupancy, revenue, labor, expense, and margin analysis at the community and portfolio level.
    • Dig into potential issues to identify root causes and proactively resolve or prevent them.
    • Provide direct analytical support to community leadership and the Senior Leadership team on financial performance.
    • Assist with special projects and prepare ad hoc analyses.
  • Reporting, Metrics & KPIs:
    • Proactively create and distribute reporting with metrics and KPIs specific to assisted living operations.
    • Monitor community-level performance against budget, forecast, and prior period, explaining variance drivers in clear operational terms.
    • Ensure reporting is accurate, consistently formatted, and delivered on a reliable cadence.
  • Systems, Tools & Automation:
    • Support initiatives to improve and automate forecasting and reporting tools.
    • Maintain model documentation, version control, and source-data integrity.
    • Leverage Yardi, Yardi Elevate, Yardi 7s, and advanced Excel to reduce manual effort and improve data reliability.
  • Team Development & Workload Prioritization:
    • Assist in the development and mentorship of Financial Analysts supporting assisted living communities.
    • Prioritize analyst projects and workload, and review their work for accuracy and clarity.
    • Foster teamwork and take actions that assist others beyond assigned responsibilities.
  • Third-Party Accounting Coordination:
    • Coordinate communication on payables and general accounting issues between third-party accounting services, Milestone, and communities.
    • Monitor the financial health of communities as reported by third-party services and escalate anomalies.
    • Provide input on the oversight of accounting services related to assisted living communities.
  • Budgeting, Rent Increases & Growth Support:
    • Support the yearly budgeting process and community rent increase process.
    • Develop and maintain proformas for potential new assisted living business.
    • Occasional travel to communities to gain deeper insight into operations.

Performance Metrics & Standards

  • Accuracy & Delivery Metrics:
    • Reporting Timeliness: Recurring community and portfolio reporting delivered on the published cadence without reminder.
    • Analytical Accuracy: Zero material errors in reporting or models; corrections issued proactively.
    • Model Integrity: Models documented, version-controlled, and traceable to source data.
    • Budget Cycle Support: Annual budget deliverables completed within the published calendar.
    • Rent Increase Support: Rent increase analysis delivered on schedule and validated before distribution.
    • Ad Hoc Responsiveness: Ad hoc requests acknowledged promptly with a committed delivery date and delivered on time.
  • Business Impact Metrics:
    • Opportunity Identification: Documented improvement opportunities identified and quantified each quarter.
    • Variance Explanation: Material community variances explained with root cause and recommended action.

    • Proforma Quality: New business proformas supported by defensible assumptions and delivered on time.
    • Decision Support: Community and senior leaders report that analysis is usable, timely, and materially informs decisions.
  • Partnership & Escalation Metrics:
    • Anomaly Escalation: Financial anomalies and control concerns escalated promptly and in writing.
    • Third-Party Coordination: Payables and accounting issues tracked to resolution with clear ownership.
    • Analyst Development: Analyst workload prioritized, work reviewed, and development feedback provided consistently.
    • Community Partnership: Positive feedback from Executive Directors and Regional Directors on responsiveness, clarity, and support.

Requirements

  • Education & Experience:
    • Bachelor's degree in Finance or Accounting required; MBA is a plus.
    • Three or more years of relevant financial analysis experience.
    • Prior supervisory or lead-analyst experience preferred.
    • Working knowledge of the healthcare industry required; senior living experience preferred.
  • Technical Skills:
    • Advanced Microsoft Excel skills, including SUMIFS, pivot tables, and VLOOKUPs; VBA experience is beneficial.
    • Experience with Yardi highly preferred, including Yardi Elevate and Yardi 7s.
  • Other Requirements:
    • Able and willing to travel occasionally to the Support Center and assisted living communities.

Pay

Salary range: $85,000 - $110,000
