Financial Operations Volunteer
About the Opportunity
Monumental Impact is a 501(c)(3) Colorado nonprofit serving high school students through adults as a community makerspace. We connect youth and community members with career pathways in technology, engineering, and entrepreneurship through programs, equipment, mentorship, workspace, and real-world experiences.
We are looking for Financial Operations Volunteers to help strengthen the day-to-day financial processes behind our nonprofit community makerspace. Immediate needs include managing transactions and subscriptions across Stripe and Givebutter, supporting monthly reconciliation and close activities, and transitioning transaction management and financial reporting into QuickBooks Online. This role involves developing organized, repeatable, and well-documented financial processes as our organization grows.
Responsibilities
- Stripe & Subscription Management
- Monitor and review Stripe transactions.
- Help manage recurring membership subscriptions and related transactions.
- Identify failed payments, discrepancies, refunds, or other transactions requiring follow-up.
- Ensure transactions are appropriately recorded and reconciled.
- Assist with improving processes for managing recurring transactions.
- Givebutter Transactions & Campaigns
- Monitor and review transactions received through Givebutter.
- Reconcile donations, sponsorships, event registrations, campaign transactions, and other activity.
- Coordinate with our Event Planning & Delivery Team when Givebutter is used for events or registrations.
- Coordinate with team members responsible for fundraising and sponsorship campaigns.
- Help establish processes for moving Givebutter transaction information into our accounting and reporting systems.
- QuickBooks Online
- Help transition financial transactions and reporting into QuickBooks Online.
- Assist with transaction categorization and reconciliation.
- Establish consistent processes for recording activity from Stripe, Givebutter, banking, and other sources.
- Improve account organization and financial reporting.
- Work with other Financials Team members to make QuickBooks Online a reliable source for ongoing financial information.
- Monthly Reconciliation & Close
- Work with Financials Team members to reconcile financial activity.
- Help identify missing, duplicated, incorrectly categorized, or unreconciled transactions.
- Assist with completing recurring month-end activities.
- Help establish a consistent monthly close checklist and process.
- Support the preparation of financial information needed by organizational leadership and the Board.
- Processes & Documentation
- Document recurring financial procedures and responsibilities.
- Help establish checklists and workflows for transaction management, reconciliation, and monthly close.
- Identify opportunities to simplify or automate repetitive activities.
- Clarify which system is responsible for which financial information.
- Improve processes so financial activities don’t depend on one person remembering how something was done last month.
Requirements
This opportunity could be a good fit if you:
- Have experience or interest in bookkeeping, accounting, finance, or financial operations.
- Are comfortable working carefully with transaction-level financial information.
- Enjoy reconciling information and finding discrepancies.
- Understand the importance of consistent financial procedures and documentation.
- Are organized, detail-oriented, and dependable.
- Can work independently while communicating questions or issues when they arise.
- Are comfortable learning new systems and improving existing processes.
- Appreciate the importance of confidentiality when working with organizational financial information.
Experience with QuickBooks Online is particularly helpful. Experience with Stripe, Givebutter, nonprofit accounting, recurring subscriptions, bookkeeping, financial reconciliation, or month-end close would also be valuable, but we don’t expect one volunteer to arrive with experience in every system.

How This Role Fits
The Financial Operations Volunteer works with our Financials Team and organizational leadership but will also coordinate with other functional teams, including:
- Event Planning & Delivery – Givebutter registrations, campaigns, event transactions, and reconciliation.
- Community Engagement – Membership subscriptions and related transactions.
- Marketing & Communications – Fundraising and sponsorship campaigns.
- Member Programs – Program-related revenues and expenses when applicable.
- Organizational Leadership – Monthly financial reporting, budgeting, and financial information needed for decision-making.
The goal is to develop financial operations where information moves cleanly from the systems where transactions originate into the accounting and reporting processes used to manage the organization.
About Monumental Impact
Monumental Impact is a nonprofit community makerspace located in Palmer Lake in the Tri-Lakes area, north of Colorado Springs. Our community brings together high school students, college students, adults, and seniors through hands-on opportunities involving technology, engineering, entrepreneurship, career readiness, competitive robotics, projects, mentorship, and making.
Schedule
We're flexible, but because transaction management, reconciliation, and month-end close are recurring responsibilities, we're especially interested in a volunteer who can provide consistent ongoing support. Much of this work can be completed remotely, although we'd like you to periodically connect with our team and become familiar with the organization and the activities behind the transactions. We'll work together to establish responsibilities and a schedule that fits your availability.
