AESC is a 24/7 emergency and specialty veterinary hospital in Parker, CO, offering advanced care across seven specialties. We are seeking a motivated, compassionate Financial Coordinator to join our growing team.

About the role

The Financial Coordinator ensures accurate invoicing and payment collection, educates clients on payment options, and supports the medical team by maintaining precise financial records and auditing closed invoices for trends and opportunities.

Responsibilities

  • Review invoices daily, comparing them to treatment sheets and medical records to ensure accurate charge capture.
  • Maintain knowledge of hospitalized cases, deposits, and outstanding balances.
  • Calculate current charges vs. deposits, communicate financial updates, and collect payments.
  • Assist clients with payment options (Care Credit, Scratch Pay, Pet Insurance) and answer financial questions.
  • Communicate client financial concerns to the DVM and/or technical team.
  • Finalize invoices prior to discharge, ensuring all services are accurately captured.
  • Collect payments and confirm receipt with the medical team.
  • Apply discounts according to established accounting practices.
  • Identify system opportunities to improve charge capture (e.g., billing triggers, bundles, processes).
  • Enter charges for outpatient ER cases in real time as directed by DVM or staff.
  • Follow technician or DVM estimate discussions with real-time payment collection for ER clients.
  • Perform monthly or weekly financial audits of historical billing.
  • Create reports of findings and/or data for AESC Leadership.
  • Provide coaching and education based on audit results.
  • Assist with accounts receivable and collections as needed.
  • Conduct financial audits and reporting for Smart Flow, ezyVet, and medical records.

Requirements

  • High school diploma or equivalent.
  • 1 year of work experience in Customer Service, Billing/Invoicing, Bookkeeping, Auditing, or a related field.
  • For internal candidates: 6 months of CSR or Assistant experience at AESC may fulfill this requirement.
  • Fluent English skills (speaking & reading); fluency in multiple languages is a plus.
  • Excellent time management and ability to handle multiple tasks in a fast-paced environment.
  • Highly skilled in accurately completing administrative work with limited oversight.
  • Strong customer service skills, including navigating difficult conversations about payment during emotionally challenging circumstances.
  • Proficiency with computer, phone, fax, and scanner systems.
  • Previous experience handling money: cash and credit card payments.
  • Experience with Microsoft Excel and mathematical calculations.
  • Ability to maintain composure and professionalism in a high-stress medical environment with critical patients.

Preferred Qualifications

  • 1 year of work experience in human or veterinary medicine (e.g., CSR, Veterinary Assistant, Medical Assistant, Medical Receptionist, Coder).
  • Work experience utilizing an Electronic Medical Record (EMR).
  • Work experience in Customer Service.

Pay

$22 - $26 hourly
$1,500 sign-on bonus
+$3.50/hr. night differential (after 6pm)

Schedule

Full Time
Sunday - Wednesday
10:00am – 8:00pm
