About the role

The Receipt Secretary at the senior-high level provides financial administrative support at the school site, with the primary function being accounts receivable. Responsibilities include conveying information regarding department functions and procedures, ensuring efficient operation of support functions, and coordinating assigned projects and site activities.

Responsibilities

  • Collects payments (e.g., dance, choir, fines, fees, fundraisers, MySchoolFees, etc.) to complete transactions, secure funds, and provide historical documentation.
  • Coordinates projects, functions, and program components (e.g., meetings, in-service events, school activities, travel, and accommodations) to complete activities and deliver services on schedule.
  • Maintains manual and electronic documents, files, and records (e.g., budget data, employee records, financial records, reports) to provide up-to-date information and historical reference in accordance with administrative guidelines and legal requirements.
  • Manages complex fees and data from various sources (e.g., free waiver policies, expenditures/budget, class changes, fundraisers, MySchool, Skyward, parking tickets) to prepare reports, make recommendations, and document activities for assigned administrators.
  • Monitors activities on behalf of assigned administrators (e.g., program components, meeting arrangements, account balances, work order status) to achieve goals and meet target dates in compliance with established guidelines and regulatory requirements.
  • Participates in meetings, workshops, and trainings to provide receipt process training, receive information, and support school operations.
  • Prepares reports, documents, and correspondence (e.g., letters, memorandums, charts, periodic and ad-hoc reports, operational procedures) to document activities, provide written reference, and convey information.
  • Presents information on administrative procedures regarding school accounts processes (e.g., department/program policies, submission procedures) to orient new personnel and disseminate information to existing staff.
  • Processes documents and materials (e.g., requisitions, budget transfers, fee payments) to disseminate information in compliance with administrative guidelines and regulatory requirements.
  • Procures supplies and materials to maintain inventory availability.
  • Reconciles account balances for assigned budget categories (e.g., all site accounts) to ensure accuracy.
  • Responds to inquiries from internal and external parties (e.g., staff, parents, students, public agencies, auditors) to provide information, facilitate communication, and offer direction.
  • Schedules activities (e.g., appointments, meetings, travel reservations, facility usage, athletics, clubs) to ensure optimal implementation of site activities.
  • Performs other related duties as assigned to ensure the efficient and effective functioning of the work unit.

Requirements

  • Age 16 or older.
  • High school diploma or equivalent.
  • Job-related experience with increasing levels of responsibility.

Pay

Hourly rate: $22.03 - $24.75 depending on qualifications and experience.

Schedule

212-day contract, 8 hours per day.
