About The Role
The Finance & Accounting Manager plays a key leadership role in overseeing core financial operations, developing and maintaining processes that support accuracy, compliance, and efficiency across the Finance department. This position manages month-end close, balance sheet reconciliations, financial reporting, cash management, tax compliance, and cross-functional coordination with internal and external stakeholders, including auditors and banks. The role also leads financial technology system improvements and process streamlining in partnership with the VP of Finance.
Responsibilities
- Develop and maintain processes to support team functions and financial controls, improving workflow efficiency.
- Prioritize tasks and projects for the team, ensuring quality work and completion of daily assignments.
- Oversee finance and accounting operations including accounting, reporting, cash application, bank and credit card management, financial reporting, supplies, equipment, and administrative responsibilities.
- Lead month-end and period-end accounting close processes, ensuring timely reconciliations and resolution of discrepancies.
- Manage balance sheet, cash, and working capital for Gemini Legal Support, Inc. and Gemini Freehold LLC.
- Establish, monitor, and achieve key performance indicators (KPIs) that support revenue growth, expense management, and operational excellence.
- Maintain and optimize accounting systems, including QuickBooks, Orange Screen, Bill.com, Tri-Star, Stripe, and Paylocity, ensuring data integrity and process efficiency.
- Serve as primary liaison for all banking activities, including administration, security, wires, loan documentation, and line-of-credit management.
- Engage with CPA auditors and manage associated finance and accounting process remediations.
- Manage insurance and benefit audits by ensuring accurate and timely submission of required documentation.
- Lead the cash application team to ensure timely and accurate processing while maintaining strong financial controls.
- Identify, evaluate, and implement process improvements and technology solutions, including lockbox services, to enhance efficiency and accuracy.
- Drive revenue optimization initiatives through process improvements, performance analysis, and cross-functional collaboration.
- Support management and remediation of historical unallocated cash payments.
- Ensure timely submission and accuracy of personal property tax statements across multiple jurisdictions.
- Provide training, mentorship, and support to team members on financial systems, processes, and professional development.
- Develop and maintain financial controls, procedures, and documentation in collaboration with the VP of Finance.
- Prepare, support, and participate in monthly financial reviews with the CEO and President, including KPIs, financial metrics, and forecasts.
- Plan and implement improvements to processes, methodologies, and tools utilizing root cause analysis.
- Lead or support the discovery and adoption of artificial intelligence within Finance.
- Promote Gemini Legal’s core values, high ethical standards, and a culture of problem-solving.
- Ensure adherence to all company policies, procedures, and professionalism standards.
- Stay current with industry knowledge through workshops, publications, and networking.
- Lead by example, fostering professional growth and accountability within the team.

Requirements
- Bachelor’s Degree in Accounting, Business Administration, or a related field preferred.
- 5+ years of progressive experience in a finance or accounting role required.
- 2+ years of experience leading a team required.
- CPA license preferred.
- Thorough knowledge of GAAP, revenue recognition, and procedures.
- Experience with balance sheet and cash management.
- Leadership and mentoring skills.
- Exposure to external auditors and banking partners.
- Ideally experience with high volume revenue streams.
- Ability to work closely within a management team and with external providers.
- Advanced time management and organizational skills.
- Strong verbal and written communication skills.
- Analytical with strong critical thinking ability and attention to detail.
- Ability to handle a high volume of work and function in a fast-paced environment, on deadline.
- Strong self-management aptitude with the ability to conduct independent work and team collaboration.

Skills
- Highly proficient in QuickBooks, Excel, Google Workspace (Docs, Sheets, Calendar, Gmail, etc.), and Adobe Acrobat.
- Experience creating financial statements, reports, and analyzing data, including the use of spreadsheets and pivot tables.
- Experience with ERP integration to financial and accounting systems.
- Understanding of AI and possible business adoption and leverage.
- Exceptional teamwork and leadership skills.
- Familiarity with Lean business principles, flowchart processes, and value stream mapping is a plus.
Environment & Physical Requirements
- Must be able to perform the essential functions of the position with or without accommodation, including:
- Sitting for at least one hour at a time (total: 6-8 hours/day).
- Keyboarding for extended periods of time (total: 6-8 hours/day).
- Using a phone with or without a headset for extended periods (total: 1-2 hours/day).
Travel may be required for this position up to 10% of working hours.
Schedule
Monday-Friday, 8:00am-5:00pm (Hybrid-Remote / Rocklin, CA HQ).
Pay
The pay range for this role is $120,000–$149,000 annually. Starting pay for new hires is typically within the lower third of the range: $120,000-$129,667 annually. Exceptions may be made based on factors such as education, specialized skills, or significant relevant experience.
