About the role

The Field Production Administrative Manager partners with the VP of Field Production, NA to ensure the timely and accurate completion of department functions. This includes leading the field production administrative team and working closely with field staff to generate documentation and system entries related to seed production contracts. The role also oversees grower payment processes, ensuring accurate and timely payment to grower-partners through effective management of the administrative team.

Responsibilities

  • Manage the field production administrative team, ensuring they meet established objectives and comply with company standards.
  • Oversee grower payment processes and reconciliation, including invoice review, approval coordination, and timely payment execution; supervise and support team members responsible for AP activities.
  • Assign tasks and maintain department responsibilities including the Acreage Contract Placement spreadsheet, annual cleaning schedule, lot tracking spreadsheet, and current grower lists.
  • Update and maintain the Planting Plan and all necessary workbooks used in the crop planning process.
  • Facilitate establishing grower contract pricing between procurement and growers via DLF field staff; maintain detailed records of crop approvals, including seed quality test results and grower pricing agreements.
  • Purchase seed from grower contracts to meet production and sales demands.
  • Maintain current seed production contract terms, pricing, and standards as directed by management.
  • Gather information from field staff to initiate new production contracts.
  • Arrange with appropriate warehouse personnel for timely assembly and, if necessary, delivery of seed stock.
  • Create DocuSign contracts for approval and obtain appropriate signatures.
  • Maintain current and accurate files of all contracts related to seed production.
  • Supervise the receiving of new seed tests and ensure proper entry into Navision and archival databases.
  • Ensure crop information remains accurate and up to date.
  • Create and maintain annual reports and spreadsheets as required.
  • Communicate with grower-partners, seed labs, and seed control agencies as necessary.
  • Maintain the Field Production Calendar and assist staff with planning upcoming activities.
  • Partner with Field Production leadership on additional projects and priorities as needed.

Qualifications

  • Bachelor’s Degree or equivalent work experience.
  • 2+ years of progressively responsible experience in administrative, operations, or production support roles.
  • Strong verbal, written, and interpersonal communication skills.
  • Excellent organizational, prioritization, and follow-up skills with attention to detail.
  • Ability to manage multiple processes simultaneously in a fast-paced environment.
  • Proficiency in Microsoft Office.
  • Able to perform detailed work with a high degree of accuracy.
  • Able to work additional hours as needed.

Preferred

  • 3+ years of relevant work experience.
  • Experience with Accounts Payable processes or financial administration.
  • Knowledge or experience in the seed industry or related agricultural industries.

Compensation and Benefits

Compensation will be based on experience.
