Responsibilities
- Data entry in HR system to include, new hire processing, status changes and separations.
- Aid employees with online new hire process, verifying documents, E-verify, completeness of online onboarding and adhering to deadlines of submitting information into required databases.
- General office duties including scanning paperwork for all, reports, and drug testing, answering phones, filing and maintaining electronic documentation and correspondence.
- Copied, and other duties as directed by project management.
- Obtain required authorization/approvals for various paperwork.
- Administering and submitting forms in a timely manner, help craft employees regarding questions pertaining to insurance benefits, FMLA, 401K, and other benefit related issues.
- Balance and submit time via recap from signed timesheets to payroll in the allotted timeframe.
- Monitor job site radio communications, distribute messages to employees and management.
- Aid Project HSE site on-boarding including safety orientation.
- Assist Site Manager and Superintendents with weekly progress reports.
- Enter correct phase codes correctly and material recaps.
- Support Superintendent with equipment inventory, tracking, and coding.
- Ensure procurement of office supplies and consumable materials.
- Aid Purchasing with paperwork, collecting, and matching delivery tickets, communicate with vendors, prepare for billing.
- Receive, sort and log all incoming deliveries; prepare all outbound deliveries.
- Provide maps and directions for visitors to the site, including subcontractors, new employees and delivery personnel.
Requirements
- 2+ years of experience in field clerk/office management in a construction environment.
- Strong teamwork orientation, initiative, communication, problem-solving and leadership skills.
- Ability to work cross functionally with departments and team members.
- Ability to Travel and report to different field offices within the Permian Basin.
- Detail oriented to organize and handle multiple project tasks.
- Exhibit a positive professional attitude, maintain confidentiality, and have a high-level of customer service skills for internal and external customers.
- Work closely with the corporate HR team regarding field employees.
- Effectively communicate policies and procedures.
- Willing to work in a construction environment and comply with all safety and Personal Protective Equipment requirements.
- Proficient in Excel and Microsoft Office, Outlook, Word.
- Comply with the attendance requirements of the project.
Physical Requirements
- Frequently required to sit; stand; walk; use hands to touch, handle, or feel; reach with hands and arms; and talk or hear.
- Occasionally required to stoop, kneel, or crouch.
- Must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 50 pounds.
- Vision abilities include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
