Primary Responsibilities

  • Partner with department heads to develop itemized budgets aligned to stated scope; value-engineer as needed and identify cost savings
  • Approve all purchase/rental requests, card funding requests, and vendor invoices within budget
  • Support marketing timelines, announcements, and key cross-promotional efforts
  • Directly oversee 3rd-party Site and Operations teams
  • Serve as the main point of contact for all project stakeholders — executives, department heads, and external parties
  • Build and manage project schedules; track milestones and keep the project on the critical path
  • Facilitate meeting notes, documentation, knowledge base, and archiving (Google Drive, Lennd, Connecteam)
  • Monitor performance, identify risks, and develop contingency plans — with particular attention to high-risk areas
  • Facilitate conflict resolution and cross-departmental escalation to keep the project moving
  • Evaluate CapEx opportunities using ROI analysis to improve project efficiency

Preferred Qualifications

  • 10+ years of proven experience producing large-scale live events or music festivals in a general contractor / project manager capacity
  • 5–7 years of management or supervisory experience leading cross-functional production teams
  • Strong budget management skills — comfortable owning a multi-million dollar operating budget
  • Working knowledge of permitting standards (Special Event, Fire, Health & Safety, Building & Safety, Noise, etc.) and ability to oversee permit procurement timelines
  • Exceptional relationship and communication skills — able to align diverse stakeholders from crew to C-suite, with a service mindset and the ability to offer multiple solutions to complex problems
  • Extraordinary organizational skills, self-motivation, and intuition in a fast-paced, high-stakes environment
  • Proficiency with project management and event production tools (e.g., Lennd, Google Workspace, or similar)
  • Ability to anticipate and mitigate risk proactively, with particular attention to high-risk production areas
  • Availability to commit to a project from planning through post-event settlement

Location

This position is based in Nashville or Los Angeles. Hybrid working schedule, 4 days in office. Remote option available.
