Sitting at the heart of BAE Systems Electronic Systems (ES), FAST Labs defines the next generation of technology across ES’s defense and commercial portfolios. We are seeking a highly organized and proactive Administrative Assistant to provide comprehensive support to the Microelectronics (µE) Product Line Director and members of the Microelectronics leadership team. This role is critical in maintaining efficient operations and enabling effective decision-making. Due to the senior nature of this role, the successful candidate will also be responsible for leading and coordinating administrative standards and best practices across FAST Labs and for mentoring other administrative assistants.
Because this role involves a combination of collaborative/in-person and independent work, it will take the form of an in-person full-time onsite work format. To be considered for this role, applicants must reside within a commutable distance of Merrimack, NH. Those seeking full-time remote opportunities will not be considered.
Responsibilities
- Calendar & Meeting Management: Expertly manage complex calendars, schedule meetings, and drive a consistent business rhythm for the product line.
- Communication & Coordination: Prepare and distribute correspondence, presentations, and reports; effectively communicate with stakeholders at all levels, including executives and their assistants.
- Project Support: Proactively and independently identify and implement process improvements to improve product line operations and contribute to complex special projects.
- Information Management: Maintain confidentiality, organize critical information, track action items and administer team platforms (Microsoft 365, SharePoint, Teams).
- Administrative Support: Provide comprehensive administrative support including travel coordination, expense reporting, and office management.
- Team Collaboration: Collaborate with and direct other administrative staff to ensure seamless business operations.
Requirements
- Five (5) years as an Administrative Assistant or similar role
- Proven track record of providing exceptional support to senior-level executives
- Excellent communication, organizational, and time management skills
- Proficient in Microsoft 365 Office Suite; particularly SharePoint, Teams Channels, Excel, Word, and PowerPoint
- Experience with video conferencing applications (Microsoft Teams, Skype, Zoom, etc.)
- Experience with complex calendar management, and travel coordination tools
- Strong problem-solving and analytical skills, intuitive, highly organized, and detailed-oriented self-starter
- Ability to work in a fast-paced environment and prioritize multiple tasks and deadlines
Preferred Qualifications
- Associate’s degree in Secretarial Sciences, Business Administration, Communications or other related field, or 10 years relevant work experience.
- Prior experience working as an Administrative Assistant in an engineering or manufacturing environment
- Proficiency with Microsoft Teams and SharePoint
Pay
Full-Time Salary Range: $63,454 - $101,526. This range is based on market pay structures. Individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
