Location: Stanford, CA (Onsite) – 2+ month contract with possible extension.

Responsibilities

  • Serve as property operations/maintenance point of contact for complex facilities; initiate work requests, monitor completion, manage maintenance and renovations budget, and coordinate routine maintenance services (trash, utilities, custodial, pest control, long-term preservation, inspections, grounds, landscapes, alarms, systems & equipment). Suggest metrics, monitor, and report related trends.
  • Perform condition assessments on appearance, equipment, or troubleshooting; analyze results and determine status. Identify and establish preventive maintenance plans; coordinate and integrate utility usage/optimization (monitor usage, gather info, provide recommendations, follow-up, shutdown requirements). Analyze data and provide recommendations.
  • Coordinate, direct, inspect, and approve contract work and third-party vendors. Identify, recommend, and implement building operations and process modifications for increased productivity and/or cost reduction; manage related budget.
  • Handle property administration: troubleshoot, complete tagging, data entry, and inventory; process purchase orders and receiving; maintain records; establish tracking systems; gather information to support space allocation decisions.
  • Implement facility security programs: develop procedures/practices, distribute keys, provide building access, monitor access records, assess security infrastructure needs (security cameras, interlocks, alarms), and adjust access schedules.
  • Complete project coordination: perform assigned tasks within department projects, act as project coordinator/liaison, and oversee small, local projects (organization, scheduling, budgeting, and implementation).
  • Serve as safety management coordinator: correct identified safety issues, perform root cause analysis, track corrective actions, manage chemical inventory and hazardous waste disposal, develop and ensure compliance with disposal procedures in laboratory settings, conduct safety training, and maintain emergency preparedness and business continuity coordination.
  • Coordinate communications services: network administration, desktop support, primary troubleshooting, telephony liaison, provide updates/alerts/notifications to building occupants, and oversee mailing services, shipping, and delivery.
  • Coordinate space management and planning activities: analyze moves for minimal disruption, coordinate moves, track space inventory and allocation, specify set-ups, maximize space utilization, provide input into facilities renewal models, and support capital plan implementation.
  • May oversee and supervise assigned staff supporting the physical environment and building systems.

Requirements

  • Bachelor’s degree and five years of related, demonstrated technical facilities management experience, or a combination of education and relevant experience.
  • Experience working with technical facilities management, property operations/maintenance, condition assessments, space management, plumbing, and related areas.
  • Analytical skills to track and analyze complex space, equipment, and financial data.
  • Strong interpersonal skills and mature judgment to interact effectively with faculty, vendors, and diverse groups.
  • Ability to coordinate and manage multiple projects with competing priorities and meet deadlines.
  • Working knowledge of applications such as Excel, Word, PowerPoint, and Project.
  • Experience working with internal and external vendors and services contracting.
  • Background knowledge of safe handling and disposal of chemicals and hazardous waste, emergency preparedness plans, and property administration (PO tracking, receiving, inventory control).

Pay

$50 - $62 hourly (W2).
