About the Role

This position provides advanced administrative and technical support to Facilities operations, serving as a departmental subject matter resource for Facilities systems and processes. The role supports both the Fire & Life Safety Support Services team and the Training and Education team, building upon core coordination responsibilities with added focus on computerized maintenance management systems (CMMS), reporting, workflow optimization, data analysis, capital project processes, technical documentation, and teammate training.

Responsibilities

  • Provides technical and administrative support to the Facilities department(s), requiring competency using computerized maintenance management systems, computer systems maintaining facility drawings and plans, learning management systems, capital management, and other applicable systems.
  • Serves as departmental Asset Inventory Professional (AIP), acting as local super-user of computerized maintenance management systems, including creating work orders, tracking work orders, and preparing routine and ad-hoc reporting.
  • Monitors analytics provided by the CMMS system, identifies trends, reports to leadership, and supports the department by following up on customer survey activity.
  • Supports departmental capital projects by managing budgets in Workday, partnering with Project Assistants for purchase orders and invoicing, and collecting and submitting project closeout information.
  • Maintains departmental procedures for maintenance, repair, and work activities; advises and updates management and staff on process and preventive maintenance changes in coordination with the Facilities CMMS team.
  • Maintains department documentation including workflows, requirements, functional specifications, installation instructions, test procedures, user manuals, procedures, and troubleshooting guidelines.
  • Delivers department-level training on updated policies, procedures, and safety-related material.
  • Performs additional responsibilities as assigned, including those required of the Facilities Resource Specialist I role.

Requirements

  • High School diploma or GED required.
  • Minimum of two years of experience.
  • Experience using computerized maintenance management and learning management programs.
  • Knowledge of regulatory compliance requirements and associated documentation.
  • Experience using Microsoft suite of applications and general office equipment.

Preferred Qualifications

  • Associates degree, trade school certificate, or equivalent.
  • Five years of experience in a healthcare and/or facilities environment.

Skills

  • Advanced training and/or experience with computer programs for word processing, spreadsheets, databases, and presentations.
  • Ability to respond quickly and appropriately in stressful situations.
  • Ability to work outside of normal working hours as needed.
  • Capability for extensive walking, standing, and travel between supported sites.
  • Willingness to use personal protective equipment when required.

Pay

Pay Range: $26.55 - $39.85 per hour.

Schedule

  • Full-time position.
  • 40 hours per week.
  • Monday through Friday, 1st Shift.
