About the role

The Facilities Records Analyst will serve as a dedicated, full-time (40 hours per week) on-site resource at a Cordova, Illinois facility, partnering directly with the Plant Manager to assess existing conditions, maintain as-built documentation, and ensure the accuracy and accessibility of the facility's CAD database.

Responsibilities

  • Serve as the dedicated, on-site CAD resource at a Cordova, Illinois facility, present 4–5 days per week.
  • Partner with the Plant Manager to assess existing facility conditions and update CAD documentation to reflect accurate record conditions.
  • Conduct quality checks and quality control reviews of existing documentation against current field conditions.
  • Cookinate with internal business units and external partners (engineers, vendors, contractors) to determine and confirm proper record conditions.
  • Maintain and manage a well-organized digital database of as-built files, ensuring files are accessible, current, and version-controlled.
  • Engage alternate parties as needed — including engineers and other vendors — to support the accuracy and completeness of the documentation library.
  • Proactively identify discrepancies between drawn documentation and actual conditions, and resolve or escalate as appropriate.
  • Communicate clearly and consistently with facility stakeholders regarding documentation status, outstanding items, and project coordination.

Requirements

  • 5-8 years' experience working on commercial CAD documentation, as-built drawing management, or facilities documentation.
  • Bachelor's Degree in Architecture, Interior Design, Drafting Technology, or related field — or equivalent professional experience.

  • Meticulous attention to detail with a commitment to documentation accuracy and quality control.
  • Demonstrated ability to assess existing field conditions and translate findings into accurate CAD record updates.
  • Experience maintaining and organizing digital databases of as-built and record drawings.
  • Strong communication and interpersonal skills.
  • Ability to coordinate across multiple business units and stakeholder groups to determine and validate record conditions.
  • Self-motivated and self-managed; able to work independently on-site with minimal oversight.
  • Entrepreneurial attitude — strong organizational skills with the ability to manage multiple priorities concurrently.
  • Seeks out and responds well to feedback and direction from others.
  • Team player with a collaborative approach to problem-solving.
