About the role
The Facilities Specialist of Facilities & Physical Security plays a crucial role in ensuring the smooth operation of the Columbus office. This position requires a presence in the office five days a week and involves managing various administrative and maintenance tasks.
Responsibilities
- On-site, daily point of contact for all Williams Lea managers, guests, and building owner representatives.
- Coordinate with vendors for deliveries and services, including catering and conference room setup.
- Clean up conference rooms and pantries after use.
- Maintain inventory and order supplies as needed.
- Communicate with the manager about meeting concerns and deadlines.
- Adhere to Williams Lea and client site policies.
- Oversee maintenance of equipment and supplies, including cleaning and safety inspections.
- Liaise with building owners for facility-related needs.
- Manage parking passes and building access cards.
- Assist with Business Continuity Planning (BCP).
- Manage and execute security-related functions.
- Support IT functions with security-related tasks.
- Assist with investigations involving security breaches and interface with law enforcement.
- Ensure compliance with corporate security policies and procedures.
- Deploy and upgrade security-related hardware and software.
- Manage day-to-day physical and fire security operations.
- Work closely with IT functions to address security issues.
Qualifications
- A minimum of an associate's degree in a related field, or equivalent work experience.
- At least 3-5 years of direct onsite customer service, office management, or receptionist experience.
- Ability to make independent decisions that align with business needs and policies.
- Experience managing building maintenance activities.
- Excellent communication, interpersonal, and customer service skills.
- Highly organized with excellent attention to detail.
- Proficiency in Microsoft Suite (Word, Excel, PowerPoint, SharePoint).
- Knowledge of ProWatch Badging System and Honeywell Camera Systems.
