About the role

The Expense Associate supports Prime Source Expense Experts' customer acquisition and consulting process by coordinating customer projects and providing analysis support. They serve as the operational bridge between Expense Advisors and Sales Support, ensuring customer projects move efficiently through the analysis process.

Responsibilities

  • Follow up with customers after discovery meetings to obtain required documentation and data for expense analyses.
  • Clearly communicate documentation requirements and answer customer questions throughout the process.
  • Build positive relationships with customer contacts while serving as a reliable project coordinator.
  • Review submitted customer data for completeness and accuracy.
  • Validate information before submitting projects for analysis.
  • Submit customer cases to the Sales Support team.
  • Maintain accurate customer records and activity within Salesforce.
  • Process miscellaneous customer requests assigned by Expense Advisors.
  • Aid in reporting and workflow tracking as needed.
  • Partner closely with Expense Advisors to understand customer priorities and timelines.
  • Collaborate daily with Sales Support to ensure analyses move efficiently through the production process.
  • Identify opportunities to improve internal workflows and customer experience.

Requirements

  • 2–3 years of experience in operations, project coordination, customer success, healthcare administration, procurement, sales support, or a related field.
  • Strong analytical and critical thinking skills.
  • Excellent organizational and project management abilities.
  • Exceptional verbal and written communication skills.
  • Advanced attention to detail and accuracy.
  • Strong Microsoft Excel skills.
  • Experience working with CRM systems (Salesforce preferred).
  • Ability to manage multiple priorities while consistently meeting deadlines.

Qualifications

  • Required: Bachelor’s degree in Business Administration, Healthcare Administration, or a related field.
  • Prior experience in healthcare or senior living providers is preferred.
  • Familiarity with expense management, procurement, purchasing, or financial analysis is preferred.
  • Experience working with cross-functional teams is preferred.
