About the Role

The Oregon Department of Justice Division of Child Support (DCS) Director’s Office is seeking an administrative professional as an Executive Support Specialist 1 to assist the Division’s Leadership and others with confidential administrative support. The successful candidate will anticipate the needs of the Director and executive team to optimize time and resources. You will serve as the primary communication link between the executive team and others in the program.

The Oregon Child Support Program, administered by the Division of Child Support, is part of the federal child support program, one of the top four anti-poverty programs in the nation. This role supports parents in supporting children, making a meaningful difference in the lives of Oregon’s children.

Responsibilities

  • Coordinate scheduling, calendaring, and meeting logistics for the Division Leadership and executive team.
  • Take and distribute meeting minutes for multiple committees and executive team meetings.
  • Arrange travel, process reimbursements, and manage travel-related documentation.
  • Serve as the primary communication link between Division Leadership and other stakeholders.
  • Provide confidential administrative support, including preparing recruitment and hiring materials, and coordinating personnel actions and files.
  • Maintain central filing systems, archive records, and ensure compliance with retention policies.
  • Open, sort, and distribute mail; assist with motor pool car reservations and virtual meeting coordination.
  • Manage a SPOTS Visa card for the Director’s Office.

Requirements

  • Three years of clerical/secretarial experience, including:
    • One year at a full-performance level in typing, word processing, or document generation.
    • Lead work responsibility or coordination of office procedures.
  • Courses or training in Office Occupations or Office Technology may substitute for up to one year of clerical/secretarial experience (except the one-year full-performance requirement).
  • Possession of an Oregon Driver’s License.
  • Must pass a comprehensive employment reference check, fingerprint-based criminal background check, and driver history check (if applicable).
  • Must obtain a Notary Public commission within six months of hire and maintain it throughout employment. Preference may be given to candidates who are already active Oregon Notaries.

  • Proficiency in Microsoft Excel, Word, and Outlook.

Pay

$4,023 – $5,371 per month.
