About the role
The Executive Program Manager is a central operations position that manages programs and special projects for the Executive Leadership Team (ELT) at the division level. This role focuses on driving completion of projects, conducting research and analysis, and responding to ad-hoc business requests from ELT members. The position requires strong analytical skills, project management capabilities, and the ability to work independently on varied assignments.
Responsibilities
- Manage special projects and one-off initiatives assigned by ELT members or Central Operations leadership.
- Conduct research and analysis on topics requested by the ELT.
- Gather data, run reports, and synthesize information to support ELT decision-making.
- Respond to ad-hoc requests from ELT members.
- Coordinates scheduling and logistics for key leadership meetings.
- Develop project plans, timelines, and track progress for assigned initiatives.
- Coordinate cross-functional resources as needed to complete projects.
- Create presentations, reports, and briefing materials based on research findings.
- Support Central Operations Senior Manager with ELT-related projects and priorities.
- Identify and document best practices, process improvements, and operational efficiencies.
- Manage small-to-medium complexity projects from initiation through completion.
- Communicate project status and findings to stakeholders clearly and concisely.
- Maintain project documentation and ensure proper handoff upon completion.
- Support training initiatives such as training labs and enablement programs.
- Assist with tool evaluation, vendor research, and technology assessments.
- Contribute analytical insights to support strategic planning and decision-making.
- Maintain confidentiality with sensitive information and strategic initiatives.
Requirements
- Prior experience as a project coordinator, executive assistant, or similar role, ideally at least 5+ years prior experience in project coordination, business analysis, operations analysis.
- Proven ability to manage multiple projects simultaneously and deliver results independently.
- Strong analytical and research skills with the ability to gather data from various sources and synthesize findings.
- Experience conducting business research, tool evaluations, or process analysis.
- Excellent organizational skills and attention to detail with ability to work under tight deadlines.
- Strong problem-solving capabilities and ability to structure ambiguous requests into actionable plans.
- Ability to work well both independently and within a team environment.
- Excellent interpersonal skills including verbal and written communication, teamwork, and customer service skills.
- Advanced level proficiency with Microsoft Word, Excel, Planner, PowerBI, and PowerPoint for creating reports, presentations, and analysis.
- Comfortable with data analysis, reporting tools, and learning new software platforms.
- Experience with project management methodologies and tools preferred.
- Understanding of software industry helpful but not required.
- Keen attention to detail and commitment to quality deliverables.
- Self-starter mentality with ability to take ownership of projects from start to finish.
- Proven track record of managing complex, cross-functional projects from initiation through completion.
- Experience coordinating large-scale meetings and events (50+ attendees, executive audiences).
- Excellent planning/organizing skills.
- Handling confidential information and maintaining organized filing systems.
- Demonstrates strong organizational skills and attention to detail and accuracy, with ability to multitask, adhere to strict deadlines, and work under pressure.
- Solid research capabilities, coupled with sound judgment, problem solving and decision-making skills.
- Ability to work well both independently and within a team environment.
- Excellent interpersonal skills including verbal and written communication, teamwork, and customer service skills.
- Advanced understanding of Microsoft Outlook and desktop calendar management programs.
- Keen attention to detail.
- Project Management certification (PMP, CAPM, or equivalent) is preferred but not required.
