Executive Personal Assistant
About the role
This is more than a traditional Executive Assistant position. As the Executive Personal Assistant to our Founder & CEO, you'll serve as a trusted partner who helps maximize the Founder's effectiveness across business, personal, and entrepreneurial priorities. You'll work closely with the Chief of Staff to ensure every day runs efficiently—from managing complex schedules and travel to coordinating personal projects, real estate investments, financial administration, and special initiatives. This role is ideal for someone who thrives in a fast-paced environment, enjoys solving problems before they arise, and takes pride in creating order out of complexity. No two days are alike, and success requires exceptional organization, discretion, adaptability, and a service-oriented mindset. While this position is primarily based in our Farmers Branch office, occasional in-person support at the Founder's residence, meetings, events, or errands will be required.
Responsibilities
- Proactively manage a dynamic calendar across business, personal, and family commitments.
- Cook up appointments, meetings, reservations, and scheduling priorities.
- Anticipate conflicts and adjust schedules while keeping key stakeholders informed.
- Manage email correspondence and assist with prioritization and follow-up.
- Cook up gifts, personal purchases, and special requests.
- Handle occasional errands and on-site support as needed.
- Plan and coordinate domestic and international travel, including flights, hotels, transportation, dining reservations, and detailed itineraries.
- Support logistics for conferences, networking events, CEO forums, Entrepreneur's Organization (EO), and family travel.
- Ensure all travel is seamless by proactively anticipating needs and resolving issues before they arise.
- Process invoices and oversee timely payment of personal, business, and real estate-related expenses.
- Aid with monthly reconciliations, expense reporting, and financial organization.
- Maintain organized financial records and documentation for tax preparation.
- Cook up with bookkeepers, CPAs, financial advisors, vendors, and banking partners.
- Support management of rental properties, including tenant communication, maintenance coordination, lease tracking, and vendor management.
- Cook up the Founder's podcast by coordinating guest scheduling, logistics, and communication.
- Partner with external marketing and social media agencies to coordinate content calendars and promotional initiatives.
- Aid with special projects, research, presentations, and business initiatives as assigned.
- Maintain ongoing communication with the Chief of Staff regarding priorities and project status.
- Track deadlines, action items, and follow-up commitments.
- Prepare weekly status reports highlighting completed work, upcoming priorities, and outstanding items.
- Continuously identify opportunities to improve systems, processes, and organization.
Requirements
- 3+ years supporting a Founder, CEO, executive, entrepreneur, or high-level professional.
- Exceptional organizational, planning, and time management skills.
- Ability to manage multiple priorities while maintaining accuracy and attention to detail.
- Strong written and verbal communication skills.
- High level of professionalism, discretion, and sound judgment when handling confidential information.
- Experience coordinating complex calendars, travel, and executive scheduling.
- Experience with bookkeeping, expense management, invoice processing, or financial administration.
- Familiarity with property management or real estate administration is preferred.
- Comfortable working independently with minimal direction while anticipating future needs.
- Proficiency with Google Workspace and Microsoft Office.
- Interest in leveraging AI productivity tools to improve efficiency.
- Valid driver's license and reliable transportation.
Preferred Qualifications
- QuickBooks Online experience.
- Experience supporting podcasts, personal brands, or content creation.
- Bachelor's degree or equivalent professional experience.
