About the role
The Executive Legal Secretary supports assigned attorneys in the Cleveland office of Squire Patton Boggs. Reporting to the Director of Administration/Office Manager, this role requires advanced technical and professional skills, strong judgment, excellent client service, the ability to manage priorities, and effective communication.
Responsibilities
- Compose and type drafts of correspondence, reports, and documents.
- Edit documents for proper phrasing and grammar.
- Manage and maintain client and general files.
- Learn and adapt to practice group-specific requirements.
- Enter and edit timekeeper daily time, mail invoices, and assist with collections.
- Prepare special projects using specialized software like Excel and PowerPoint.
- Handle telephone inquiries, assign billing codes, and distribute mail.
- Schedule appointments, assist clients, and arrange business itineraries.
- Research and abstract information as requested.
- Support overflow work and take action during attorney absence.
- Maintain organized client and administrative files.
- Manage special projects such as file scanning.
- Duplicate correspondence and arrange for duplicating.
Qualifications
- Associate's degree or equivalent from a two-year college or technical school.
- At least two years of legal secretarial experience, preferably in a law firm.
- Ability to read, analyze, and interpret business materials.
- Proficiency with MS Word and 60 wpm typing speed.
- Basic knowledge of PC and Microsoft Office products.
- Ability to solve practical problems and follow instructions.
- Ability to lift approximately 15 pounds.
