Executive Assistant to the State Superintendent of Schools (Executive Associate III)
About the role
The Executive Assistant to the State Superintendent of Schools is a pivotal position providing top-level office support by overseeing and facilitating the day-to-day operations of the Office of the State Superintendent of Schools.
This role oversees the State Superintendent's schedule, ensuring meticulous coordination, preparation, and execution of all engagements and commitments. The Executive Assistant handles correspondence, inquiries, and messages from internal and external stakeholders, resolving issues promptly while maintaining strong working relationships. The position also involves creating and managing written materials, overseeing document processing, and addressing diverse administrative responsibilities and office operations in alignment with established guidelines. The Executive Assistant performs other special projects as assigned by the State Superintendent.
Responsibilities
- Oversee and manage the State Superintendent’s daily schedule, including coordination, preparation, and execution of all engagements and commitments.
- Handle correspondence, inquiries, and messages from internal and external stakeholders, resolving issues promptly.
- Create and manage written materials, including professional correspondence, emails, and reports.
- Oversee document processing and administrative office operations in alignment with established guidelines.
- Perform special projects as assigned by the State Superintendent.
- Use HR and finance systems to approve time and expenses.
Requirements
- Bachelor’s degree from an accredited college or university.
- Five years of progressively responsible experience providing administrative support to a senior or executive-level manager, with at least one year including office management responsibilities.
- Experience using Google Workspace and Microsoft Suite applications (Word, PowerPoint, SharePoint, etc.).
- Must consent to State and FBI (CJIS) background check as a routine procedure for all MSDE employees.
Preferred Qualifications
- Experience in a State or local government agency.
- Strong organizational skills to manage multiple responsibilities simultaneously.
- Experience composing and/or proofreading clear, concise, and professional correspondence, emails, and reports.
- Experience using HR and finance systems.
