About the role
The Executive Assistant will provide high-level administrative support to the Partner & Co-President of Film. This position requires discretion, a high level of organization, flexibility, and strong performance in the fast-paced world of film production and development. Although this position works closely with creative development, it focuses mainly on the business and marketing distribution side of film.
Responsibilities
- Anticipate the business and personal needs of the executive, relying on experience and judgement to plan and accomplish tasks
- Act as gatekeeper and ensure timely and efficient day-to-day running of the office
- Provide executive-level administrative support including heavy calendar management, which consists of booking conference rooms, sending out meeting invites, and tracking/ranking appointment requests by priority and deadlines
- Manage the executive’s incoming and outgoing calls, and the phone sheet overall
- Serve as the administrative liaison with internal team members
- Book and coordinate business-related travel on behalf of the executive as needed
- Manage Ramp and expense reports
- Develop a rapport and sustain a level of professionalism among all staff and external parties
- Fulfill ad hoc requests including but not limited to note-taking, research, and editing documents
- Additional responsibilities may be assigned based on executive and departmental needs
Requirements
- 1-3 years of relevant entertainment experience
- 1-2 years of agency, management, production company, or other relevant desk experience
- Interest in the business and/or marketing and distribution side of film and TV
- Experience managing heavy phones and scheduling
- Must be detail-oriented, with an ability to multi-task
- Must be able to adapt in a fast-paced, high-pressure work environment
- Uphold a strict level of confidentiality
- Develop and sustain a level of professionalism among staff and clientele
