About the role

We are seeking a highly skilled Senior Executive Assistant to join our Executive Support team. This role involves partnering directly with executive leaders to safeguard their time, streamline communication, and support operational infrastructure.

Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate cross-functional initiatives with autonomy and strategic insight.
  • Act as a trusted representative for executives, making decisions and handling communications on their behalf.
  • Utilize AI tools and automation workflows to streamline recurring administrative tasks, including drafting communications, summarizing information, and building efficient systems.
  • Oversee high-visibility projects such as leadership events, organizational onsite activities, and special executive programs with minimal supervision.
  • Create executive-level reports, synthesize organizational insights, and facilitate cross-departmental collaboration to support decision-making processes.
  • Provide a steady, attentive presence, ready to address urgent needs outside of regular hours when necessary.
  • Ensure operational reliability by adhering to SLAs for travel, events, and administrative deliverables.
  • Measure impact through executive effectiveness, operational reliability, automation-driven efficiency gains, and stakeholder trust.

Qualifications

  • 10+ years of experience supporting multiple executives in a technology, financial services, or professional services environment.
  • 2+ years managing workplace experiences, including vendor coordination, onsite event execution, and facilities oversight.
  • Proficiency with Google Workspace, calendar management, and project coordination tools.
  • Demonstrated experience using AI tools (e.g., ChatGPT, Claude, Gemini) to enhance work quality and efficiency.
  • Excellent written and verbal communication skills across all organizational levels.
  • A proactive mindset with strong problem-solving abilities and anticipation of needs.
