Responsibilities

  • Provide high-level executive support to the Managing Partner, including calendar management, travel arrangements, expense reports, and other administrative needs
  • Provide legal administrative support to the attorneys and paralegal in the Trust & Estate Planning practice
  • Prepare, proofread, revise, and finalize correspondence, estate planning documents, and related materials
  • Coordinate client meetings, document signings, calendars, and follow-up items
  • Communicate professionally with clients, including high-net-worth individuals and families
  • Draft emails and other correspondence for attorney review
  • Assist with billing follow-up internally and with clients
  • Maintain matter files, client records, and related firm systems
  • Answer and route office phones as needed
  • Handle sensitive and confidential information with discretion

Requirements

  • 3+ years of experience providing high-level executive administrative support; legal assistant experience in a law firm or professional services environment strongly preferred
  • Prior experience supporting a partner, managing partner, senior attorney, or executive in a fast-paced, client-facing environment
  • Available to work in office M-F from 8:30am to 5:30pm PT, and support occasional after-hour events
  • Strong client service skills and experience in a client-facing role
  • Excellent organization, communication, and proofreading skills
  • Ability to work autonomously, exercise sound judgment, and manage multiple priorities
  • Proficiency with Microsoft Office and legal document/calendaring systems

Qualifications

  • Prior experience in trust and estate planning or another estate-planning-adjacent practice area (a plus, not required)

Pay

The anticipated pay range for this position is $70,000–$85,000 annually. Actual compensation will depend on experience, qualifications, internal equity, geographic considerations, and business needs. This position is classified as non-exempt and is eligible for overtime in accordance with applicable federal and California law.

Schedule

Full-time, on-site position. Core hours are Monday through Friday, 8:30am to 5:30pm PT, with occasional after-hour events.
