About the Opportunity

The Executive Assistant provides critical support to senior leaders, including top officers and general managers, enabling them to operate efficiently and focus on strategic priorities. This role is central to managing complex schedules, coordinating travel, and facilitating communication across the organization. It contributes by ensuring leaders can perform at their best, maintaining smooth operations during transitions and high-impact initiatives.

Responsibilities

  • Manage complex and rapidly changing senior leader calendars proactively.
  • Coordinate domestic and international travel arrangements including logistics and documentation.
  • Handle expense reporting and track departmental budgets accurately.
  • Serve as liaison between executives and internal/external stakeholders to ensure effective communication.
  • Prepare and organize executive materials such as agendas, reports, and presentations.
  • Plan and execute meetings, offsites, and special events, managing vendor relations and logistics.
  • Maintain confidentiality and exercise discretion with sensitive information.
  • Provide backup support within the Executive Assistant team to ensure continuity.

Requirements

  • 3–4 years of experience supporting senior-level executives or equivalent.
  • Experience in a publicly traded company.
  • Advanced proficiency with Microsoft Office Suite, especially Teams, Outlook, Word, Excel, and PowerPoint.
  • Ability to manage multiple priorities and meet deadlines in fast-paced settings.
  • Strong verbal and written communication skills with attention to professionalism.
  • Demonstrated discretion with confidential information.
  • Proactive problem-solving and sound judgment.
  • Adaptability to changing priorities and evolving business needs.
  • Detail-oriented with commitment to high-quality work.
  • Collaborative and service-oriented interpersonal skills.
