About the Role

The Executive Assistant – Revenue & Operations provides high-level administrative, operational, and analytical support to executive leadership, including the Chief Revenue Officer and Director of Operations. This role is responsible for managing executive schedules, coordinating hiring activities, preparing executive reports, maintaining key performance dashboards, and supporting strategic initiatives across revenue cycle management and behavioral health operations.

Location: Pompano Beach, Florida (Onsite)

Key Responsibilities

  • Executive & Administrative Support
    • Manage executive calendars, meetings, and daily schedules.
    • Coordinate executive correspondence, inbox management, and follow-up activities.
    • Prepare meeting agendas, action items, and executive documentation.
    • Arrange business travel, accommodations, and meeting logistics.
    • Support executive leadership with administrative and operational priorities.
  • Operations Coordination
    • Assist with day-to-day operational activities across multiple departments.
    • Coordinate cross-functional projects and track progress against deadlines.
    • Maintain organized operational documentation and business records.
    • Support workflow improvements that enhance organizational efficiency.
    • Assist leadership with special projects and strategic initiatives.
  • Data Analytics & Reporting
    • Collect, organize, and analyze operational and financial data.
    • Prepare executive dashboards and recurring KPI reports.
    • Monitor key performance metrics related to admissions, billing, collections, claims, reimbursements, and operational performance.
    • Ensure reports are accurate, timely, and presentation-ready.
    • Support data-driven decision-making through meaningful analysis and reporting.
  • Revenue Cycle Support
    • Assist with reporting related to billing operations and revenue cycle performance.
    • Support monitoring of claims, reimbursements, and verification processes.
    • Maintain accurate financial and operational records.
    • Collaborate with revenue cycle teams to improve reporting accuracy.
    • Identify opportunities to improve operational efficiency through data analysis.
  • Hiring & Talent Coordination
    • Review resumes and coordinate interview schedules.
    • Communicate with candidates throughout the recruitment process.
    • Support onboarding activities for new employees.
    • Assist with reference checks and hiring documentation.
    • Coordinate recruitment logistics with hiring managers and leadership.
  • Technology & Process Improvement
    • Maintain spreadsheets, databases, and reporting systems.
    • Utilize Microsoft Office and Google Workspace to manage documentation and reporting.
    • Support continuous improvement initiatives through automation and workflow enhancements.

Qualifications

Required

  • Minimum of two years of experience as an Executive Assistant, Operations Assistant, Project Coordinator, or in a similar administrative role.
  • Strong proficiency with Microsoft Office, particularly Excel, and/or Google Workspace.
  • Excellent organizational, multitasking, and time-management skills.
  • Strong written and verbal communication abilities.
  • High attention to detail and accuracy.
  • Ability to work with confidential financial, clinical, and human resources information.
  • Strong analytical skills and comfort working with spreadsheets, reports, and performance metrics.
  • Ability to manage multiple priorities in a fast-paced environment.

Preferred

  • Experience in healthcare, behavioral health, or revenue cycle management.
  • Experience supporting executive or C-level leadership.
  • Experience coordinating recruitment and hiring activities.
  • Familiarity with Electronic Medical Records (EMRs), billing systems, CRM platforms, or reporting software.
  • Experience preparing executive dashboards and operational reports.
