Responsibilities

  • Provide executive-level administrative support, including complex calendar management, travel coordination, meeting preparation, and follow-up.
  • Serve as the primary point of contact for the executive office, managing communications with professionalism and confidentiality.
  • Cook up board communications, meeting logistics, agendas, and materials while supporting board-related events and trustee hospitality.
  • Plan and execute executive meetings, leadership events, donor and VIP visits, and other special events in collaboration with internal departments and external vendors.
  • Cook up scheduling and event logistics for the executive residence, ensuring seamless hospitality and operational readiness.
  • Track contracts and institutional agreements, coordinating reviews, approvals, and documentation while maintaining organized records.
  • Aid with executive communications, strategic initiatives, and special projects.
  • Monitor departmental budgets, process expense reports, and coordinate purchasing activities.

Qualifications

  • Bachelor's degree required (Master’s degree preferred)
  • At least five years of executive assistant or senior administrative support experience.
  • Experience supporting senior executives and coordinating executive-level meetings, projects, and events.
  • Demonstrated ability to handle highly confidential information with professionalism and discretion.
  • Experience working with contracts, legal documents, or institutional agreements is strongly preferred.
  • Higher education or nonprofit experience is preferred but not required.
  • Advanced proficiency with Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint, along with strong overall technology skills.
  • Exceptional organizational and time management abilities.
  • Outstanding written and verbal communication skills.
  • Professional presence with excellent interpersonal skills.
  • Strong attention to detail and commitment to accuracy.
  • Ability to anticipate needs, solve problems proactively, and work independently.
  • Flexibility to support occasional evening or weekend meetings and special events throughout the year.

Pay

$60,000–$70,000 DOE
